Job summary

Finning (UK) Ltd seeks a Service Administrator to join the DiPerk Service team on a 6-month fixed term contract. You will coordinate service activities, manage administration processes and maintain vital records to deliver excellent customer service.

You'll work closely with customers, engineers and colleagues, with full training provided on our systems and processes to ensure service jobs progress smoothly from start to finish, contributing to a positive customer experience.

Responsibilities

• Schedule routine service visits and confirm dates with customers.

• Order and allocate parts to service jobs and resolve admin issues.
• Review engineer reports, record hours and mileage, follow up on gaps.
• Prepare warranty claim documentation and maintain records.
• Collaborate with engineers and planners to deliver excellent service.

Position Overview

DiPerk is the UK and Ireland’s only authorised Perkins distributor, specialising in the supply, service, and support of Perkins engines across all industries and applications. Our expertise in diesel engines and commitment to customer satisfaction make us a trusted partner for businesses requiring reliable and efficient power solutions. We are looking for a Service Administrator to join our busy DiPerk Service team on a 6-month contract.

Job Description

This is a varied role where you'll work closely with customers, engineers and colleagues across the business to help coordinate service activities, manage administration processes and keep vital records up to date. You'll play an important part in delivering a great customer experience while ensuring service jobs progress efficiently from start to finish. Full training will be provided on our systems and processes.

Key Responsibilities

• Schedule routine service visits and agree service dates directly with customers.
• Act as a key point of contact for customer enquiries, providing professional and timely support.
• Create and maintain service jobs, ensuring records are accurate and up to date.
• Raise purchase orders, process paperwork and support invoicing activities.
• Order and allocate parts to service jobs, resolving any administration issues that arise.
• Review engineer reports, record hours and mileage, and follow up on missing information.
• Prepare warranty claim documentation and maintain accurate supporting records.
• Work closely with engineers, planners and internal teams to help deliver an excellent service to customers.

Knowledge, Skills & Experience

• Previous experience in an administration, customer service or service support role.
• Strong organisational skills with the ability to manage multiple tasks and priorities.
• Excellent attention to detail and a commitment to accuracy.
• Confident communicator with a professional telephone manner.
• Good working knowledge of Microsoft Outlook and Excel.
• Proactive approach with the confidence to follow up on outstanding actions and information.
• Customer-focused team player who enjoys building positive working relationships.
• Experience within engineering, automotive, service, parts or warranty environments would be an advantage, but isn't essential.
