Job summary

Fidelity Integrated Systems is seeking a diligent Service Administrator in Orpington to support the expanding Service Department. You will coordinate maintenance contracts, engineer schedules, and customer communications, ensuring high-quality service and timely updates.

The role offers a structured 9-to-5 weekday schedule, strong team support, and opportunities to develop within a growing building services group.

  • Service Operations Support: plan workloads and ensure effective operations.
  • Engineer Scheduling: coordinate daily schedules and maintenance visits.
  • Maintenance Contract Administration: manage contracts and schedules.
  • Customer Service & Client Relationships: handle calls and provide updates.
  • Simpro Administration: manage contracts, raise POs, process invoices, update records.
  • Accounts & Office Support: check invoices and provide admin support.
  • Compliance & Business Support: maintain RAMS and docs.

The Role

As our Service Administrator, you'll play a vital role in supporting our expanding Service Department, helping to coordinate maintenance contracts, engineer schedules, planned preventative maintenance, reactive callouts, remedial works, and customer communications.


This is a fast-paced and varied position where no two days are the same. You'll work closely with engineers, clients, suppliers, and management teams to ensure our service delivery remains exceptional.


We're looking for someone who enjoys being organised, takes pride in delivering excellent customer service, and can confidently manage multiple priorities.


Key Responsibilities

Service Operations Support


  • Work closely with the Service Operations Manager to ensure workloads are effectively planned and managed.

  • Support the efficient running of the service department and help deliver outstanding customer service.


Engineer Scheduling


  • Coordinate and manage engineers' daily schedules.

  • Allocate planned maintenance visits and reactive service calls.

  • Ensure engineers have the information and resources required to complete works efficiently.


Maintenance Contract Administration


  • Manage service contract administration processes.

  • Monitor maintenance schedules and ensure contractual obligations are met.

  • Assist in achieving key company compliance and performance targets.


Customer Service & Client Relationships


  • Handle incoming calls and customer enquiries.

  • Provide timely updates on service activities.

  • Build strong relationships with clients, helping maintain high levels of customer satisfaction and contract retention.


Simpro Administration

Use the Simpro field service management platform to:


Manage contracts and jobs


Raise purchase orders


Process invoices


Update customer records


Monitor service activities


Accounts & Office Support

Check sales and purchase invoices.


Chase outstanding information and resolve invoice queries.


Provide general office support and holiday cover where required.


Compliance & Business Support

Assist with maintaining RAMS, company procedures, and compliance documentation.


Support company website and social media administration.


Assist Directors and management teams with ad-hoc administrative projects.
