Position Summary:

The Senior Team Assistant will perform a wide variety of administrative functions for an assigned group, which may include Investment Directors, Investment Associates, and department staff. In addition, the Senior Team Assistant will take on high-level duties such as conducting research, creating materials, preparing correspondence, and managing special projects. The Senior Team Assistant will respond to information requests, exhibit excellent judgment, think creatively, and consistently seek to contribute to those they support, our clients, and the firm at large by assuming greater responsibilities.

Key Responsibilities:

Administrative Support, Coordination and Communication:

· Work closely with Investment Directors and the Investment Team to keep them informed of commitments, responsibilities, and conflicts, following up proactively.

· Provide extensive calendar management, scheduling internal and external meetings with heavy coordination and attention to detail.

· Serve as a virtual support resource for MS Teams, Webex, and Zoom

· Manage and monitor MS Teams Channels for team requests.

· Communicate and ensure the Firm’s standards for formatting are applied to all correspondence, presentations, and materials.

· Prioritize and manage tasks with efficiency and discretion.

· Create and maintain Box files for the team.

· Prepare and reconcile timesheets, expense reports, and Amex statements.

· Pull manager comments, quarterly letters, and factsheets for the Investment Team.

· Maintain client contacts in Dynamics CRM and manage business contacts in Outlook.

· Support business development efforts and research backgrounds and bios as needed.

Travel and Meeting Management:

· Make complex international travel arrangements using a travel agency and Neo.

· Provide extensive trip planning and coordination with internal staff, clients, and external parties.

· Schedule conference rooms and provide meeting support in virtually and in person.

· Work with the Office Services team to support onsite client and team meetings.

Additional Responsibilities:

· Provide administrative coverage for Investment Directors and management staff during absences.

· Work with the Administrative Manager to mentor and train team members as needed.

· Perform special projects and assume responsibilities as assigned by the Administrative Manager or Practice Leadership Teams.

Qualifications:

· Proven experience in an administrative or secretarial role.

· Advanced proficiency in MS Word, Excel, PowerPoint, and Outlook; Adobe Acrobat experience preferred.

· Familiarity with Box, Neo, MS Dynamics, MS Teams, Oracle, and WebEx is advantageous.

· Strong problem-solving and decision-making skills.

· Excellent organizational skills with the ability to manage competing tasks and prioritize effectively.

· Detail-oriented with strong writing and proofreading abilities.

· Ability to work independently and collaboratively, fostering productive relationships.

· Strong verbal communication skills and the ability to mentor others.

· High degree of confidentiality and service-oriented interaction.

· Eagerness to learn and adapt in a dynamic environment.
