Downham Market Academy Senior Exam Invigilator/Casual Contract Salary: £13.95 per hour Required: As Soon as Possible Working Hours: Monday to Friday on a casual basis This role is to support the Exams Officer with the preparation and running of exams one week before exams start and during exam periods. You must be available for both results days in mid-August.
Principal Duties and Responsibilities
One week before start of exams:
- Ensure invigilator's folders are up to date and have newest version of ICE booklet enclosed.
- Check invigilator trays/trollies have everything needed in terms of stationery and equipment.
- Print/laminate up to date posters, allocating a set for each exam room.
- Print/laminate two sets of candidate ID cards.
- On receipt of exam papers and stationery, assist the Exams Officer with their immediate secure sorting and storage.
- Print exam paperwork as prepared by the Exams Officer. This includes, seating plans, student registers, access arrangements.
- Prepare exam paperwork for each exam (usually 2-3 days ahead helps). This involves annotating seating plans with relevant student access arrangements, differentiating between exams/tiers within an exam session. Time spent to make paperwork clear for invigilators will help to minimise the risk of error and ensure that students receive the correct paper and any access arrangements that applies to them.
Exam day:
- Ensure exam security before, during and after each exam.
- Remove exam papers from secure storage no more than 90 minutes before the start of each exam as per JCQ requirements.
- Act as 'second pair of eyes check' for those papers removed ensuring that the day, date and time of exam is correct.
- If required, open minimum number of exam paper packets to remove a paper for copying onto appropriate coloured paper. Don't forget to re-seal the opened pack, returning it to secure storage.
- Sort correct number of papers into invigilator trays and trollies. Any opened packs must be put into sealed A4 envelopes.
- Support the Exams Officer with briefing invigilators on arrival so that they have all the information required for their exam. Allocate trays and trollies to them as appropriate.
- Lead/support the team of invigilators in order that all exams are operated as per JCQ instructions.
- Check exam room set up prior to start of exam.
- Help and support students prior to entering the exam hall, dealing with any concerns/questions that they may have.
- Remind students to ensure that all mobile phones and watches are left in their bags together with all other unauthorised materials.
- Complete student register in the main exam hall once the exam has started.
- Collect all other exam room registers.
- Copy registers and hand copy to attendance to deal with any absent candidates.
- Support invigilator team for the duration of the exam with rest breaks, medical incidents or any other problems that may arise.
- Sort and package exam scripts at the end of each exam. Store papers securely until collection by Parcelforce.
- Sort/tidy invigilator trays/trollies ready for the next exam.
- Add new paperwork (seating plans/registers/access arrangements/incident log) and student ID cards for those sitting exam.
Results Day
- Supporting the Exams Officer across four days in August for results days.
Person Specification
- Experience of working with children is desirable.
- An understanding of the exam process or a willingness to learn.
Safeguarding
- Be aware of safeguarding and promoting the welfare of children and vulnerable adults and to report any concerns in accordance with the Trust's Safeguarding/Child Protection policies.
- Undertake regular safeguarding/child protection/adult protection training as required by the Trust.
- Report any concerns in accordance with the Trust's safeguarding/Child protection policies.
