Penmans Solicitors LLP is seeking a senior Conveyancing Department Lead in Coventry to oversee the delivery of high-quality conveyancing services and ensure regulatory compliance. The role involves managing staff, supervising workloads, and driving performance across the department.

You will provide supervision and training to fee earners, maintain client care standards, and contribute to departmental planning and profitability.

Responsibilities

  • Lead, supervise and manage all staff within the Conveyancing Department.
  • Oversee and coordinate the performance of the overall Conveyancing Department.
  • Allocate and oversee workloads to ensure effective use of resources and timely progression of matters.
  • Monitor performance across the department and address any issues as they arise.
  • Provide supervision, guidance and support to fee earners and support staff.
  • Conduct appraisals and contribute to the development and training of team members.
  • Ensure the department operates in line with firm policies, procedures and service standards.
  • Maintain a personal caseload of residential conveyancing matters from instruction to completion.
  • Ensure all matters are progressed efficiently and in accordance with agreed timescales.
  • Maintain high standards of client care and communication.
  • Provide technical input and support on complex or high-value matters within the team.
  • Ensure compliance with all regulatory and professional obligations, including SRA, CQS, AML, GDPR and lender panel requirements.
  • Ensure all files are maintained in accordance with firm procedures and quality standards.
  • Liaise with Compliance Officers in relation to audits, risk management and regulatory matters.
  • Undertake regular file reviews to ensure compliance and quality standards are met across the department.
  • Contribute to the development and implementation of departmental business plans.
  • Maintain and develop relationships with referrers and professional contacts.
  • Liaise with the marketing team regarding any advertising or promotional requirements for the department.
  • Attend networking events as appropriate and represent the firm externally.
  • Monitor departmental financial performance, including billing, work in progress and overall profitability.
  • Ensure timely billing and effective file progression to support cashflow.
  • Contribute to budgeting and financial planning for the department.
  • Ensure effective operational management of the department on a day-to-day basis.
  • Comply with all firm policies and procedures.
  • Uphold the firm’s standards of professionalism and client care.
  • Undertake any other duties as reasonably required consistent with the role.

Job description
