The property team specialises in a vast breadth of such cases involving trespass, nuisance, property damage, breach of covenant, and landlord and tenant claims. Claims are usually funded by legal expenses insurance, so the role involves dealing with insurers as well as clients.

As a Senior Administrator, you will act as the operational gatekeeper for new claims into the team by managing shared inboxes, in addition to day to day dealing with existing claims. You will be liaising with fee earners, insurers, internal departments and other third parties as appropriate and ensure timely and professional services are provided to all relevant stakeholders including new and existing clients.

You will be:
  • Checking all systems and files are correct and compliant before passing file/claim papers to the relevant fee earner.
  • Responsible for assisting and completing professional checks (conflicts, money laundering) for all new claims and providing updates on respective files where appropriate.
  • Responsible for populating and submitting insurer audit report/s monthly, gathering data from team generated spread sheets.
  • Dealing with Accounts queries, obtaining billing guides when requested facilitating regular client billing disciplines by the fee-earners.
  • Working closely with other team members and provide support where appropriate. This may require from time to time assisting in preparation of Court bundles and booking appointments.
  • Producing correspondence and documentation within the parameters of the department’s house style ensuring consistency and accuracy in presentation.
  • Undertaking a range of administrative responsibilities, including accurately recording meeting minutes, efficiently managing diaries, and providing comprehensive support to fee earners in resolving queries.
  • Arranging travel/hotel stays for members of the department.
  • Running weekly reports for the department fee earners.
  • Arranging appointments with clients.
Essential:
  • Demonstrable administrative experience with the ability to manage a varied workload and meet deadlines.
  • Strong organisational and time management skills, with the ability to work effectively in a high-volume environment, manage competing priorities, and maintain accuracy while handling multiple tasks simultaneously.
  • Experience using digital systems and handling documents accurately, including both electronic and paper-based records.
  • The ability to work independently, manage priorities effectively, and use initiative where appropriate.
  • Excellent verbal and written communication skills, with the ability to communicate professionally with colleagues, clients, and external parties.
  • Confidence in speaking with clients and demonstrate empathy and professionalism when supporting clients or colleagues in sensitive or challenging situations.
  • A team player mindset to work collaboratively as part of a team and contribute positively to shared objectives.
Desirable:
  • Experience in a legal administrative role, providing effective support within a busy legal or professional services environment.
  • Familiarity with legal case management systems and document management platforms.
  • 25 days' holiday as standard, rising to 28 days depending on role level, plus bank holidays and the option to purchase additional leave.
  • Opportunities to share in our success through annual pay and bonus review processes for eligible colleagues.
  • Health and wellbeing support, including Westfield Health and Digital GP access.
  • Competitive pension arrangements to help you plan for the future.
  • Two paid volunteering days every year to support causes that matter to you.
  • Access to a range of colleague discounts and lifestyle benefits to support you both inside and outside of work.

We also offer a wide range of well‑being initiatives to encourage positive mental health both in and out of the workplace and to make sure you’re fully supported.
