Summary

The Senior Administrative Assistant is an independent, motivated team member providing administrative support to the Global Program Team (GPT) and Global Clinical Team (GCT) members with minimal supervision. Responsibilities include secretarial and administrative duties for managers and associates, acting as an information resource on organizational policies, gathering and reporting relevant information, and guiding other administrative staff as needed.

This role is based in London, UK, with a hybrid working approach.

About The Role
Major Accountabilities:
  1. Manage complex administrative and organizational tasks independently, including scheduling offsite meetings, managing calendars, travel arrangements, processing expenses and purchase orders, and booking conference rooms globally.
  2. Handle confidential information professionally across all management levels.
  3. Act as a liaison across departments to ensure effective communication and reporting.
  4. Interact with internal and external contacts, often at senior management levels.
  5. Coordinate logistics for large meetings and manage data tracking as required.
  6. Prepare and organize documents and files, including updates to organizational charts and presentations.
  7. Manage mailings and distribution for the Global Program and Clinical Teams.
  8. Coordinate building maintenance requests and support data entry into Novartis systems.
  9. Assist and train other administrative staff as needed.
  10. Compile data, statistics, or information for use by others.
Minimum Requirements:
  • Bachelor’s degree or equivalent senior administrative experience preferred.
  • Experience in the pharmaceutical industry.
  • Strong communication skills in fluent English (oral and written).
  • Excellent organizational and time-management skills with the ability to prioritize.
  • Intermediate to advanced administrative experience (minimum 5-7 years).
  • Ability to exercise discretion, judgment, and solve complex problems.
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, SharePoint, and MS Teams.
  • Ability to work independently with minimal supervision.
  • Adaptability to organizational changes.
  • Team-oriented mindset.
