Are you an organised, professional administrator who enjoys working in a busy environment and being part of a school community? A well-established secondary school in Sutton is looking for a reliable School Administrator to join its administration team on a full-time, permanent basis.

This is an excellent opportunity for an experienced administrator who is confident dealing with students, parents, staff and visitors and who can keep multiple administrative tasks moving throughout a busy school day. The successful candidate will need to be approachable and helpful while also being able to maintain confidentiality, follow procedures and work accurately.

The role would suit someone who enjoys being the person colleagues can rely on to keep important information organised and ensure that day-to-day office processes are completed properly.

School Administrator - Key Responsibilities

The successful School Administrator will provide day-to-day administrative support across the school office. Responsibilities will include:

Acting as a professional first point of contact for parents, students and visitors.

Welcoming visitors and ensuring appropriate visitor procedures are followed.

Answering incoming telephone calls and taking accurate messages.

Responding to emails and general administrative enquiries.

Directing enquiries to the appropriate member of staff.

Maintaining accurate student and administrative records.

Updating the school's management information system.

Processing changes to student information.

Supporting student admissions and new starter administration.

Assisting with student leaver processes.

Preparing letters, forms and other school documentation.

Maintaining electronic and paper filing systems.

Supporting the organisation of meetings and appointments.

Preparing paperwork for meetings when required.

Assisting with attendance-related administration.

Supporting school communications to parents and carers.

Maintaining accurate records of correspondence.

Ordering office supplies and monitoring stock.

Supporting staff with general administrative requests.

Assisting with school events, trips and activities.

Supporting examination or assessment administration where required.

Recording information accurately and promptly.

Maintaining a professional and organised reception area.

Supporting other members of the administration team during busy periods.

The role will require good judgement and the ability to prioritise. School offices can become particularly busy during morning arrival, lesson changes and the end of the school day, so you will need to remain calm and organised when several people require assistance at the same time.

Working with Students

The successful candidate will have regular contact with students throughout the day. Students may visit the office because they have an appointment, require assistance, need to contact home or have another school-related query.

You should be friendly and approachable while maintaining appropriate professional boundaries. The school is looking for someone who can communicate clearly with young people and understands that students may sometimes need reassurance or direction.

Parents and Carers

Parents and carers will be another important part of your daily communication. You may receive queries regarding attendance, appointments, school events, letters, forms or general school procedures.

You should be able to provide clear information where appropriate and know when a matter needs to be passed to a teacher, pastoral colleague or senior leader.

A professional and calm manner is essential, particularly when dealing with a parent who may be frustrated or concerned.

Administration and Data

Accuracy will be particularly important. You will be responsible for entering and updating information on school systems, preparing documentation and ensuring records are maintained correctly.

Experience using a school management information system such as SIMS, Arbor, Bromcom or a similar platform would be advantageous. Strong general IT skills and confidence using Microsoft Office are also expected.

School Administrator - Experience and Requirements

The ideal candidate will have previous administration experience, preferably within a school, college, education setting or another busy public-facing environment.

The successful applicant should have:
