Job description

A welcoming, dynamic secondary academy in Hounslow (TW postcodes, convenient to Hounslow Central, Feltham, and Chiswick) is seeking an organized, articulate, and proactive School Administrator to join its busy front-office team for an immediate (ASAP) start.

Role Overview

As School Administrator, you will serve as the administrative backbone of the academy, providing essential reception support, managing pupil attendance data, handling parent communications, and assisting the Senior Leadership Team with day-to-day operational tasks.

This post is ideal for an experienced school receptionist, office administrator, or customer service professional seeking a fast-paced, rewarding administrative role within a supportive educational environment.

Key Responsibilities
  • Act as the first point of contact for the school, managing visitor reception, phone switchboards, and the main school email inbox
  • Maintain pupil databases and attendance records accurately using school management systems (e.g., SIMS, Arbor, or Bromcom)
  • Operate first-day absence calling, following up on unexplained student absences and updating registration codes
  • Produce official school correspondence, newsletter mailings, parent notices, and student information packs
  • Assist with student admissions paperwork, school trip logistics, medical administration, and lost property
  • Provide general administrative and reprographics support to the Senior Leadership Team, SENCO, and teaching staff
  • Maintain high standards of safeguarding by adhering strictly to visitor sign-in protocols and Single Central Record (SCR) procedures

Candidate Requirements
  • Previous administrative experience in a school office, GP surgery, local authority, or fast-paced customer service environment
  • Proficiency in school management information software (SIMS, Arbor, Bromcom) or strong general database and Microsoft Office skills
  • Outstanding written and verbal communication skills with a professional, welcoming telephone manner
  • Excellent organizational skills, attention to detail, and ability to prioritize competing front-desk tasks under pressure
  • An active enhanced DBS on the Update Service (or willingness to apply for one)
