Job summary

Innovus Group in the United Kingdom is seeking a proactive Scheduling Coordinator to manage site visits, coordinate with property managers and ensure smooth operations. You will be the go-to for scheduling, helping to drive performance, meet SLAs and deliver an excellent client experience.

The role reports to the Business and Performance Manager and requires a commitment to working from the New Milton office at least three days per week. A car allowance is included.

Qualifications

  • Proficiency in Microsoft Office and scheduling software (Excel, Outlook, Creatio).
  • Ability to multitask and adapt in a fast-paced environment.
  • Attention to detail and a proactive approach to problem-solving.

Responsibilities

  • Own the Scheduling Process - process new instructions, record client orders and allocate jobs.
  • Coordinate Site Visits with property managers to schedule appointments.
  • Be the Point of Contact - manage inquiries on availability, reschedule appointments, and billing queries.
  • Support Operational Flow - ensure documentation is accurate to proceed with jobs and billing.
  • Assist with Billing & Quotes - collate weekly billing data and draft quotes for new instructions.
  • Drive Performance - track SLAs and KPIs and coordinate with surveyors and managers.

Main Purpose of the Job

We’re looking for a dynamic and detail-oriented Scheduling Coordinator to join our high-performing team. If you’re someone who thrives in a fast-paced environment, loves solving problems, and is always looking for smarter, more efficient ways to work — this role is for you.

You’ll play a key role in keeping our operations running smoothly by managing the scheduling of site visits, coordinating with property managers, and ensuring our team members are set up for success. You’ll be the go-to person for all things scheduling, helping to drive performance, meet SLAs, and deliver an exceptional experience to our clients.

Position in Organisation

This role reports to the Business and Performance Manager. There is a requirement to work from the New Milton office a minimum of three days per week.

Main Responsibilities
Operational Coordination
  • Own the Scheduling Process - Process new instructions, recording client purchase orders and allocate jobs to the most suitable team member based on location, availability, and expertise.
  • Coordinate Site Visits - Liaise with property managers and stakeholders to confirm access and schedule appointments efficiently.
  • Be the Point of Contact - Manage enquiries related to team members’ availability, reschedule appointments, and keep everyone informed. Address queries relating to client purchase orders and billing information.
  • Support Operational Flow - Ensure all documentation is accurate and up to date, to proceed with the completion of a job and proceed with billing.
  • Assist with Billing & Quotes - Collate weekly billing data for completed jobs and draft price quotes for new instructions.
  • Drive Performance - Track SLAs and KPIs, flag bottlenecks, and work closely with surveyors and managers to keep the job pipeline moving.
Experience
  • Proven experience in scheduling, coordination, or administrative roles (experience in property or surveying is a plus).
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office and scheduling software (e.g., Excel, Outlook, Creatio).
  • Ability to multitask and adapt in a fast-paced environment.
  • Attention to detail and a proactive approach to problem-solving.
