Overview
To provide a high quality administrative and clerical support to the nursing and medical staff. To be responsible for the management of patient information and to ensure accurate data quality. To assist nursing staff with discharge planning. To provide a full and professional front of house service for patients, visitors and staff ensuring they are informed appropriately.
Main duties
- Update and maintain accurate patient data
- Conduct quality audits as requested by the medical teams and nursing staff
- Ensure that all GP summaries are dispatched either by MyChart or mail within 24 hours of the patient's discharge
- Welcome and provide front–of‑house service to patients and their relatives/visitors onto the ward, ensuring security and infection control measures are adhered to
- Answer ward telephone enquiries promptly, efficiently and politely
- Ensure that all clinical referrals are forwarded to the relevant internal department and/or external agencies
- After discharge, make follow‑up appointments as requested
- Coordinate the transfer of patients to tertiary centre/continuing care setting (nursing home, residential home or hospice)
- Maintain the reception desk and waiting areas in a presentable manner
- Observe and maintain confidentiality of patient records and staff information
- Secure and document all patient property in accordance with the Patient Property Policy
- Request Hospital Transport and porters as directed through the necessary app or person

Job Responsibilities
- Order all ward supplies, including ward stores, patient documentation, stationery and electronic/IT equipment; place routine and ad‑hoc orders to maintain stock levels and meet delivery deadlines
- Carry out administrative duties such as photocopying as instructed by the Ward Manager
- Develop a good working relationship with the Procurement department
- Develop robust stock management systems to keep ward stocks within defined upper and lower limits and within budget, working closely with the Ward Manager and Matron
- Ensure stores are unloaded on the day of delivery
- Act as liaison with the Trust’s Facilities Department for maintenance jobs and repairs, reporting any out‑of‑order lifts to the Maintenance Help Desk
- Provide cover for other ward areas as directed by the Administration Support Co‑ordinator
- Assist with the training of new members of staff as appropriate
- Observe the general responsibility of all staff under the Health & Safety at Work Act
- Maintain strict confidentiality of staff and patient records, in line with Trust Policy; any unauthorised breach will result in disciplinary action
- Ensure acceptable standards of data protection are maintained, in accordance with the Data Protection Act
