Job description

We are looking for a dedicated Repairs Planner to play a crucial role in coordinating repair and maintenance activities across our diverse portfolio of homes. You will be responsible for ensuring our in-house team, contractors and suppliers consistently deliver a high-quality repairs service, scheduling and managing a high volume of tasks simultaneously while making sure all visits and inspections are completed on time. If you have exceptional organisational skills, strong communication abilities and a passion for getting things right first time, we would love to hear from you. Our Freebridge Community Housing goal is to provide affordable, safe, and quality homes for current and future generations, for those who need a place to call home. Freebridge was set up in 2006, to receive the transfer of the Borough Council of King's Lynn and West Norfolk's housing stock. We now have over 7500 properties across West and North Norfolk, in addition to building new homes for social and affordable rent, and to support those who want to move into shared home ownership. We've had numerous achievements, including delivering our customers' promises and bringing homes to the Decent Homes Standard, affording our customers a much better quality of living. At Freebridge, we live by our values: Belong, Own It, Think Customer, One Team One Purpose, and Be the Change.

Outline of key responsibilities
  • Establish and maintain effective, ongoing communication with operatives to monitor the progress of work, managing variations to schedules and appointments arising from unforeseen circumstances to ensure customer requirements are consistently met
  • Act as the first point of contact for operative absence reporting, taking responsibility for the rescheduling of affected appointments and liaising with line managers to anticipate and manage annual leave, ensuring resource levels remain at the necessary operating capacity
  • Continuously monitor and review performance delivery in real time, making proactive adjustments to work diaries to maximise the use of available resources
  • Receive and assess property-related enquiries, processing requests accurately into job orders or inspection and survey visits in accordance with agreed procedures
  • Accurately diagnose repair faults, liaising with customers, operatives and contractors to coordinate appointments and material supplies, maximising productivity while maintaining a high-quality service
  • Proactively reschedule repair works where necessary, keeping tenants informed and advancing appointments wherever resources allow to minimise delays and disruption
  • Ensure the highest standards of customer care are upheld at all times, including the effective handling of complaints and service failure issues in a professional and timely manner
We are looking for someone who has
  • Proven experience in property maintenance, repair planning or a similar coordination role, with a solid understanding of what effective repairs and maintenance delivery looks like
  • Strong computer literacy with excellent written and numerical skills, and the ability to work accurately and efficiently across a range of systems
  • A good working knowledge of Microsoft packages, particularly Outlook and Excel, and the confidence to pick up new systems and software quickly
  • Demonstrable experience of working as part of a multi-disciplinary team, collaborating effectively with colleagues, contractors and stakeholders to achieve shared goals
  • Experience of gathering, analysing and interpreting complex technical data, with the ability to use this insight to inform decisions and improve service delivery
  • Exceptional organisational skills and the ability to prioritise a busy, reactive workload, remaining calm and effective when managing competing demands and changing circumstances
What's in it for you?
