Job summary

BCD Meetings & Events (BCD M&E) is seeking a Global Ancillary Meeting Sourcing Manager to lead sourcing activity for congress-related ancillary meetings across destinations. This remote UK/Spain role requires coordinating with clients, hotels, and venues to meet event needs.

You will manage venues, RFPs, and supplier negotiations, maintaining accurate sourcing documentation and collaborating with cross-functional teams to achieve successful outcomes.

Qualifications

• Experience in sourcing ancillary meetings for congresses and related programs.
• Ability to research, identify and source venues, meeting space, and hotel accommodations.
• Experience developing and distributing RFPs, evaluating proposals, and preparing bid grids.

Responsibilities

• Manage sourcing activity for ancillary meetings connected to congresses and related programs, from brief through handoff to operations.
• Research, identify, and source venues, meeting space, hotel accommodations, and related suppliers based on client needs, attendee profile, destination, and meeting requirements.
• Develop and distribute RFPs through sourcing tools including Cvent, evaluate proposals, and prepare bid grids, comparisons, and recommendation summaries.
• Negotiate pricing, concessions, terms, and contract conditions while reviewing key commercial terms, cancellation clauses, attrition exposure, and risk areas.
• Maintain accurate documentation, reporting, and sourcing records while supporting forecasting, room block performance tracking, and continuous process improvement.
• Managing external vendors and negotiating contract services with professionalism and commercial awareness.
• Building strong relationships with clients, hotels, venues, housing bureaus, medical societies, and internal stakeholders.
• Communicating clearly and confidently, both verbally and in writing.
• Managing multiple projects at once while meeting deadlines and service expectations.
• Working with detail and accuracy across budgets, compliance requirements, contracts, and sourcing documentation.
