Job summary

Lovable is seeking a Recruiting Operations Specialist to cover parental leave, owning day-to-day interview operations, keeping Ashby accurate and reliable, and improving processes that help us hire exceptional people. You’ll work closely with recruiters, hiring managers and EAs to make every step clear for candidates and interviewers.

TL;DR - We're looking for a Recruiting Operations Specialist to join Lovable on a parental leave cover, with the potential for extension. You'll own day-to-day interview operations, keep Ashby accurate and reliable, and improve the processes that help us hire exceptional people. Working closely with recruiters, hiring managers, and EAs, you'll make every step clear and well-coordinated for candidates and interviewers.

What we're looking for

• 2+ years of experience in recruiting operations or coordination, ideally in a global startup or fast-moving tech environment.
• Hands-on experience with Ashby or a comparable ATS, and an understanding of how data quality and system configuration affect recruiting.
• Strong organizational judgment: you know how to prioritize competing requests, navigate ambiguity, and follow through independently.
• Clear, thoughtful communication and excellent writing skills. You're comfortable working with senior stakeholders and speaking up when something needs to change.
• An AI-native mindset: you understand how processes work, spot opportunities to improve them, and can build scalable workflows that integrate AI and agents into everyday recruiting operations.
• A collaborative approach: you welcome feedback, share what you learn, and care deeply about the people behind the process.

Nice to have: experience in project or program management.

What you'll do

• Own interview scheduling and candidate logistics, including complex panel interviews and coordination across time zones in partnership with EAs.
• Keep Ashby accurate and reliable through regular pipeline audits, data checks, and configuration support.
• Use recruiting data and feedback to identify bottlenecks, implement practical improvements, and measure their impact.
• Build and improve scalable processes, using AI and agents to automate repetitive tasks, reduce manual handoffs, and free the team to focus on candidates and hiring decisions.
• Champion the candidate experience with clear expectations, timely updates, and thoughtful preparation, helping stakeholders uphold the same standard.
