Job summary

Sussex Police is seeking candidates for a role in Records Management in Uckfield. The position involves maintaining documentation integrity while collaborating across departments to enhance information accessibility.

Ideal applicants will be GCSE qualified with experience in records management, strong team collaboration, and good IT skills. This full-time opportunity promotes flexible working arrangements ensuring a balance between professional and personal life.

Qualifications

  • Educated to GCSE standard or equivalent with English and Mathematics at Grade C or above.
  • Previous experience working in a records management environment, though training will be provided.
  • Proven ability to work effectively as part of a team and as an individual.
  • Ability to plan and prioritise workload.
  • Good IT literacy, particularly Microsoft Products.
  • A full driving license and use of a vehicle.

Responsibilities

  • Ensure integrity and preservation of all documentation stored at the site.
  • Carry out physical activities to load, move and store records.
  • Allocate storage space and ensure physical care of documents.
  • Maintain an efficient storage and retrieval process.
  • Ensure site security and assist with document destruction.
  • Communicate with all departments to identify safe storage processes.

Skills

GCSE standard or equivalent with English and Mathematics at Grade C or above
Experience in records management
Ability to work effectively as part of a team
Good IT literacy, particularly Microsoft Products
Driving license and vehicle access

Job description

This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst remaining two separate legal entities/employers with different terms and conditions.

Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.

Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowances and hours.

The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key Responsibilities

From your first day with us you will be part of a policing family making a real difference.

Working from our Police Training Centre at Kingstsanding Maresfield, Uckfield.

It is our mission to identify and protect vulnerable people, prevent and respond to harm and keep people safe.

In this role you will be at the heart of our operations. You'll be maintaining and developing the Records Management Unit to ensure everything runs smoothly. Your work will involve improving how paper documentation is filed and making sure colleagues can easily access the information they need.

You won’t just be behind the scenes - you’ll collaborate with multiple departments, including the Information Management team, and engage with all areas of the business.

This is a fantastic opportunity to build strong relationships, learn from different teams, and make a real impact on how we manage and protect critical information.

For the role, you will be responsible for:

  • Ensuring the integrity, longevity and preservation of all documentation stored at the site.
  • Carrying out physical activities to load, move and store records, using manual and mechanical methods.
  • Allocating storage space and ensuring physical care of the documents.
  • Providing and maintaining an efficient and effective storage and retrieval process.
  • Ensuring the security of the site and those who visit.
  • Assisting with the safe and secure destruction of documents based on the retention time frames.
  • Communicating with all departments across the Force to identify the most practical and safe storage processes in line with Data Protection legislation.
  • Working as part of a small team, supporting all members with enquiries, problem solving and decision making.
Skills & Experience

The Skills and Experience we're looking for include:
