Job description

Looking to recruit a confident and enthusiastic Telephonist/Receptionist into the team at a friendly but extremely busy 6-partner GP Practice that is committed to the care and wellbeing of others. The successful candidate will enjoy working as part of a dedicated team.

This is a temporary position with the possibility of becoming permanent. The role offers up to 25 hours per week, across 5 days, with morning and afternoon shifts.

The main responsibilities include managing appointment bookings and addressing patient queries via telephone and at the front desk.

Main duties of the job

Candidates must have a good general education, an excellent telephone manner, and strong customer service skills. They should be computer literate and flexible to cover annual leave and sickness absences.

The successful candidate will work alongside the Reception Lead to support the smooth day-to-day operation of the reception and undertake additional duties as required.

About us

We are a GP Practice with approximately 11,000 patients, led by 6 GP partners, including a specialist in ENT, a salaried GP, 2 regular locum GPs, along with a team of nurses, pharmacists, receptionists, administrative staff, and management.

We are an advanced training practice for GP registrars and also teach medical students in partnership with Birmingham University.

The practice provides in-house minor surgery, physiotherapy (FCP), and GPwSI ENT services.

We are a forward-thinking practice committed to maintaining a personal list system, which research shows to be best practice.

Job responsibilities

Key Responsibilities:

  • Provide an effective and efficient reception service to patients and visitors.
  • Handle all general inquiries, explain procedures, and book new and follow-up appointments.
  • Use your judgment and communication skills to ensure patients requiring urgent consultation are seen in a logical and non-disruptive manner.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed.
  • Receive and make telephone calls as required, divert calls, and take messages via Emis Tasks, ensuring accuracy and prompt delivery.
  • Enter requests for home visits onto the visit list on EMIS, recording all relevant details carefully and referring to the Duty Doctor when necessary.
  • Distribute results to patients after the doctor has actioned them.
  • Inform patients of relevant charges for private (non-GMS) services, accept payments, and issue receipts.
  • Enter patient information into the computer as required.
  • Retrieve and re-file records, maintaining strict alphabetical order.
  • Keep reception and waiting areas tidy.
