Qualifications

  • Interest in building a long-term career as a PA/EA.
  • Polished, warm, and confident communication.
  • Highly organised with ability to manage multiple priorities.
  • Experience in diary management and front-of-house duties is a plus.
  • Proficient in Microsoft Office, especially Outlook.

Responsibilities

  • Provide front-of-house experience for visitors and guests.
  • Manage reception area, calls, visitors, deliveries, and couriers.
  • Coordinate meeting rooms and ensure they are prepared.
  • Prepare and serve refreshments for meetings.
  • Support Facilities team with day-to-day office running.
  • Assist EA team with diary management and travel arrangements.
  • Provide general admin and office duties.
  • Assist with company events and wider office projects.

Job description

Are you an enthusiastic, polished and highly organised individual looking for a role that will give you exposure to senior stakeholders, develop your PA skills and offer a genuine stepping stone into an Executive Assistant career? We are looking for a Receptionist & Office PA to join a highly successful, professional and fast‑paced organisation based in beautiful London offices. This is far more than a traditional reception role. You will become an integral part of both the Executive Assistant and Facilities teams, providing first‑class front‑of‑house support while also gaining valuable exposure to senior executives and learning the skills required to develop into a future EA. You will report into the Facilities Manager but work closely with an experienced Executive Assistant team, meaning no two days will look quite the same. You will need to be someone who enjoys variety, is happy juggling changing priorities and genuinely likes to get involved wherever needed.

The role
  • Providing a polished, professional and welcoming front‑of‑house experience for visitors and senior guests
  • Managing the reception area, incoming calls, visitors, deliveries and couriers
  • Coordinating meeting rooms and ensuring they are always prepared and presented to an exceptional standard
  • Preparing and serving refreshments and supporting with executive breakfasts, lunches and meetings when required
  • Assisting the Facilities team with the smooth day‑to‑day running of the office
  • Supporting the Executive Assistant team with diary management, meeting coordination, travel arrangements, errands and ad hoc projects
  • Providing general administrative support including printing, scanning, document preparation and other office duties
  • Assisting with company events and wider office projects
  • Working collaboratively across both the EA and Facilities teams and being happy to shift gears depending on where support is most needed
