A successful, supportive and growing boutique Wealth Management firm is looking for a friendly, polished and highly capable Office Coordinator & PA to join its London team.
This is a role for someone who genuinely enjoys being at the heart of an office – someone approachable and personable who takes pride in creating a professional, well‑run environment and is happy to get involved in whatever is needed.
The right attitude is just as important as experience. We're looking for someone with a real can‑do mentality, who is naturally helpful, confident dealing with people at all levels and able to manage upwards when supporting the COO.
The role is predominantly office and facilities focused, alongside providing PA and coordination support to the COO.

The Role
Office & Facilities – the main focus (70%)
- Take ownership of the smooth day-to-day running of the London office, ensuring it is professional, welcoming and well organised.
- Manage office suppliers, facilities, equipment and external service providers.
- Act as the key liaison with building management, coordinating access, maintenance, repairs and other facilities matters.
- Deal with HNW clients professionally and diligently.
- Take ownership of Health & Safety policies and procedures.
- Manage office budgets, invoices, expenses and general expenditure.
- Maintain organised and secure digital and physical filing systems.
- Provide reception cover when needed, acting as the first point of contact for clients, visitors and calls.
- Oversee front‑of‑house standards and ensure visitors receive a warm, polished and professional welcome.
- Line manage the Receptionist and support the smooth running of the front‑of‑house function.
- Coordinate internal events, company socials and external meetings.
- Identify opportunities to improve office processes and make the working environment as efficient as possible.
- Assist with the planning and coordination of an upcoming office relocation.
PA & COO Support (30%)
Alongside the office responsibilities, you will provide day-to-day support to the COO, Adrian, including:
- Coordinating the COO’s diary and meetings.
- Organising senior leadership and operational meetings.
- Preparing agendas and taking clear, accurate minutes.
- Following up on actions and ensuring agreed points are progressed.
- Coordinating meetings and communication across the business.
- Providing general administrative support and helping to keep the COO organised and on track.
- Managing occasional international calls with the firm’s US headquarters.
- Supporting with expenses and other ad hoc requirements.
- This is not a complex diary-management or travel‑heavy PA role. The COO has a relatively straightforward diary and very limited travel, so the focus is much more on organisation, coordination, communication and being a reliable right hand.
About You
- We're looking for someone with around 3-4 years' experience in an office coordination, office management, or facilities management position. Industry background is open – what matters most is your personality, attitude and level of professionalism.
- Warm, approachable and friendly, with a natural ability to build relationships.
- Proven ability to deal with HNWIs
- A genuine team player who is happy to roll up their sleeves and get involved.
- Proactive and solutions‑focused, with a strong can‑do attitude.
- Confident enough to manage upwards and know when something needs to be raised or followed up.
- Highly organised, reliable and able to take ownership without needing constant direction.
- Polished and professional, with the confidence and maturity to deal with UHNW individuals, senior executives and external stakeholders.
- Comfortable being the face of the office and providing a consistently high level of service.
- Discreet and trustworthy when handling confidential information.
- Calm and pragmatic, with the ability to juggle different priorities.
- A strong communicator with excellent written and verbal skills.
- Confident using Microsoft Office, particularly Word, Excel and PowerPoint.
The Opportunity
