Job summary

A UK-based service company is looking for an individual for the Facilities Reception and Administration role. The candidate will present a professional front‑of‑house image, handle incoming calls, support customer needs, and assist with various administrative tasks. Previous reception and administration experience, along with strong communication and customer service skills, are essential. The working hours are from 8:00 a.m. to 3:00 p.m., Monday to Friday.

Overview

Facilities Reception and Administration Role

Responsibilities
  • Present a professional front‑of‑house image to callers, visitors, and staff.
  • Answer incoming telephone calls, greet visitors, and provide customer support.
  • Assist Facilities with mail ordering, stationery, lunches, and the off‑site records management service.
  • Liaise with local uniform suppliers on new orders and uniform deliveries.
  • First point of contact for staff reporting building/landlord issues to the Helpdesk and maintaining records of such reports.
  • Arrange travel: taxis, couriers, hotel and flight bookings.
  • Ad hoc administration duties for the Facilities Manager and Department Managers, assisting with ad hoc projects.
  • Take hospitality bookings for internal and external meetings and inform IT when AV equipment is required.
  • Monitor Facilities and reception mailboxes.
  • First point of contact for staff requesting service from our off‑site records management service provider.
  • Handle routine correspondence, word processing, filing, organising and photocopying.
Qualifications
  • Previous reception and administration experience.
  • Good PC skills.
  • Good communication and customer service skills.
Relationships

Report to the Facilities Manager. Work with all UK employees and all external visitors.

Hours

8.00 a.m. to 3.00 p.m., Monday to Friday.
