Job summary

To provide general assistance to the practice team and project a positive and friendly image to patients and visitors, either in person or via the telephone. Welcome, assist, and direct patients in accessing the appropriate service or healthcare profession in a courteous, efficient, and effective way.

Main duties of the job
  1. Dealing with appointment, home visits, and telephone requests.
  2. Booking, amending, and cancelling patient appointments.
  3. Processing of repeat prescriptions in accordance with practice guidelines.
  4. Initial contact with and responding to requests from patients, other team members, and associated healthcare agencies and providers.
  5. Filing and retrieving paperwork.
  6. Taking messages and passing on information.
  7. Keeping the reception area tidy and free from obstructions and clutter.
  8. Bringing in pathology lab results and reallocating where necessary.
  9. Import GP to GP records.
  10. Action admin emails and internal messages.
  11. Action master call out of hours reports.
  12. Handling paperwork, locating paper notes for deducted patients.
  13. Enter new patients onto the system.
  14. Update addresses and name changes in the system.
  15. Handle online registrations.
  16. Process mother and baby discharges.
  17. Prepare medical records for insurance companies.
  18. Carry out data entry for patient records.
  19. Summarize new patient records.
  20. Receive new patient paper notes from the health authority and enter them onto the system.
  21. Scanning of post onto patient records.
  22. Coding.
  23. Email sick notes and referrals to patients and hospitals.
  24. Complete tasks sent from internal users.
  25. Ensure patient confidentiality at all times.
  26. Complete annual mandatory training.

We have a clinical team of 9 GP Partners, 5 Salaried GPs, 4 Practice Nurses, 2 HCAs, and 1 Phlebotomist, all supported by a large reception and admin team.
