Responsibilities

  • Lead and monitor attendance systems and data, with regular analysis and reporting.
  • Support pupils and families to remove barriers to attendance in partnership with staff and services.
  • Provide high-quality administrative support to the Headteacher and Governing Body.
  • Manage reception, correspondence, records, returns, payroll and school events.
  • Handle financial administration including banking, invoicing, procurement, and budgeting.
  • Coordinate with contractors and aid in facilities and resources management.
  • Line-manage Midday Supervisory Assistants and provide training.
  • Utilise school and Council IT systems to maintain records and produce reports.

We are recruiting a School Clerk at Caerphilly County Borough Council.

Working hours: 30 hoursWorking Weeks TTO: 39 WeeksContract Type: Permanent, Part time, Term Time onlyLocation: Bryn Awel Primary SchoolWe pay an attractive salary of £22,489 and offer access to training and development opportunities.

We are looking for an organised, approachable and highly capable School Clerk to join Bryn Awel Primary School. This is a varied and trusted role, working closely with the Headteacher, senior leadership team, Education Welfare Officer and Family Liaison Officer to help our school run smoothly and to support pupils and families.

What the role involves
  • Leading, developing and monitoring whole-school attendance systems, procedures and data, including weekly, fortnightly, monthly and termly analysis and reporting.
  • Working constructively with pupils and families to identify and reduce barriers to regular attendance, in partnership with school staff, the Education Welfare Service and other agencies.
  • Providing high-quality administrative and organisational support to the Headteacher, senior leaders, staff and Governing Body.
  • Managing complex reception, visitor, correspondence, record-keeping, returns, payroll and school-event administration.
  • Undertaking financial administration, including banking, invoicing, procurement, ordering, budget monitoring and managing expenditure within agreed procedures.
  • Liaising with contractors and supporting the administration of school premises, facilities, stock and resources.
  • Line managing Midday Supervisory Assistants, including day-to-day supervision, support, training and development.
  • Using school and Council IT systems confidently to maintain accurate records, analyse information and produce reports. Training on specific systems will be provided.
About you
  • You will be someone who can combine warmth and professionalism with accuracy, discretion and sound judgement.
  • You will be confident communicating with children and adults and able to remain calm when managing competing priorities or sensitive situations.
  • A relevant Level 4 qualification on the Credit and Qualifications Framework for Wales, or experience in a relevant discipline.
  • Experience of developing, managing and operating effective administrative systems; this does not have to have been gained in a school.
  • Very good literacy, numeracy and ICT skills, with the ability to learn and use a range of digital systems.
  • The ability to plan and improve systems and to organise, lead and motivate other staff.
  • Strong interpersonal skills and the ability to build constructive relationships with pupils, parents, colleagues, professionals and contractors.
  • A clear understanding of confidentiality and a commitment to safeguarding, equality and the ethos and aims of the school.
  • Desirable: experience of working in a school; knowledge of school systems such as Arbor (Management Information System); a First Aid qualification; and Welsh language skills or basic Welsh second-language ability with a willingness to promote the Welsh ethos of the school.
