Job summary

Smurfit Westrock in Manchester is seeking a Quality Compliance Administrator to coordinate customer complaint processes, maintain QMS documentation, and support audits. You will work with Customer Services, Operations and Warehouse to uphold independent quality gatekeeping.

You will use Power BI dashboards and Power Platform tools to track quality trends, improve processes, and ensure compliance across the site. Excellent IT and communication skills are essential.

Qualifications

  • Experience in quality management processes and audits.
  • Ability to prepare professional customer correspondence.
  • Familiar with structured investigation methods (e.g., 5 Whys).
  • Proficient IT skills including Microsoft Office suite.
  • Strong organisational and communication skills.

Responsibilities

  • Coordinate the complete customer complaint process from investigation to response letters.
  • Maintain QMS documentation, procedures, and revision registers.
  • Verify shop-floor data via digital inspection apps and feed into the Data Warehouse.
  • Extract insights from Power BI dashboards to track trends and actions.
  • Maintain calibration schedules and coordinate external calibration engineers.
  • Manage stock records (COBIS), holds, and disposal logs.
  • Support audit preparation with evidence dossiers and trackers.
  • Collaborate with Customer Services, Operations and Warehouse teams to uphold quality gates.
  • Assist site management to stay audit ready for SMETA and BRCGS standards.

The Role
  • Coordinating the complete customer complaint process, ensuring thorough investigations, accurate root cause analysis, and professional, timely customer response letters.
  • Managing Quality Management System documentation, operating procedures, controlled forms, and revision registers across electronic portals.
  • Interacting with digital inspection apps to verify shop-floor line checks and ensure check data flows cleanly into the site Data Warehouse.
  • Navigating and pulling operational insights from Power BI dashboards and Power Platform tools to track quality trends, defect rates, and improvement actions.
  • Maintaining the site calibration schedule for testing equipment, booking external calibration engineers, and archiving compliance certificates.
  • Managing quarantine and non-conforming stock records in business systems (COBIS), tracking stock holds, and processing authorised disposal logs.
  • Supporting internal and customer audit preparation by collating compliance evidence dossiers and action trackers.
  • Collaborating closely with Customer Services, Operations, and Warehouse teams to maintain independent quality gatekeeping and high standards.
  • Supporting the site management team in ensuring we are always audit ready (external & internal audits), including working to SMETA and BRCGS standards.
Person Specification

To be successful in this role you must have;

  • Strong organisational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills, with the ability to write clear, professional customer correspondence.
  • Good IT skills, including proficiency in Microsoft Office (Excel, Word, Outlook).
  • Strong problem-solving abilities and familiarity with structured investigation methods (e.g. 5 Whys).
  • Ability to manage multiple administrative priorities, schedules, and deadlines.
  • Strong relationship-building and communication skills, with a collaborative approach.
  • A proactive, self-motivated approach with high personal integrity and a "quality conscience".
