Proposals and Project Engineer Role

The Proposals & Project Engineer plays a crucial role in delivering Capital Equipment Projects to the food and medical industries within the UK market. This role encompasses two primary functions: managing technical sales proposals and supporting project delivery.

• Proposals: Handle new enquiries and assess, scope, design, develop, and create technical sales proposals. Collaborate with the Project Manager and/or Business Unit Manager to manage the publication of proposals.
• Project Tasks: Support Project Managers and the Business Unit Manager in the timely delivery and implementation of integrated lines. Prepare supporting documentation, review specifications, manage resources, and communicate across departments and with third parties. Manage up to 10 proposals/projects simultaneously, with project values ranging from €100K to €5M. Ensure projects are delivered on time and within budget.

Specific Responsibilities

Commercial

• Ensure project financial summaries and associated technical sales proposal documentation are produced accurately and promptly.
• Manage and approve supplier payments to maintain positive cash flow.

Technical

• Contribute to the scoping and definition of turnkey solutions, ensuring customer requirements are clearly defined, understood, and met.
• Produce various technical project documents, including process flow diagrams, User Requirement Specifications, Product Matrix, cost/finance reports, SAP reports, Request for Quotations, and supplier agreements.
• Manage opportunities and pipeline in the preparation of technical sales proposals.
• Provide technical support to Project Managers and the Business Unit Managers.
• Assist and support the Project Manager in developing integrated system layouts using 2D CAD.
• Ensure adherence to all relevant safety objectives and legal requirements.
• Evaluate, organise, and prioritise workload within a schedule.
• Liaise with third-party contractors to ensure all equipment is fit for purpose

General

• Develop project objectives by reviewing proposals and plans, and conferring with management.
• Determine project responsibilities by identifying phases and elements, assigning personnel, and reviewing contractor bids.
• Define project specifications by studying product design, customer requirements, and performance standards, and completing technical studies.
• Prepare cost estimates and technical sales proposals for systems.
• Write RFQ documentation and supplier agreements to support the Business Unit Manager or Project Managers with third-party supply chain management.
• Confirm product performance by designing and conducting tests or carrying out analysis.
• Determine project schedules by studying plans and specifications, calculating time requirements, and sequencing project elements.
• Maintain project schedules by monitoring progress, coordinating activities, and resolving problems with the Project Manager.
• Control project plans by reviewing designs, specifications, and schedule changes, and recommending actions.
• Control project costs by approving expenditures, administering contractor contracts, approving invoices for payment, and managing cost variations.
• Prepare executive project status reports for the Project Manager/Business Unit Manager by collecting, analysing, and summarising information and trends, and recommending actions.
• Maintain project databases by entering and managing data input and document control.
• Ensure all systems comply with CE regulations by conducting equipment audits and risk assessments.
• Maintain the Project Management file structure on company servers, working with the project proposals engineer/team and sales office.
• Prepare and manage project financial summary reports by collecting data from CRM and technical sources.
