REFY is seeking a Projects Coordinator to drive cross‑functional delivery across Retail, Field Teams, Brand Marketing and Digital. You will own the delivery plan from the business calendar and trading plans, ensuring teams act on retailer decisions with clear deadlines.

You will report to the Head of Delivery, manage milestones and escalation of blockers, and coordinate with Commercial, Brand, Creative, Digital, and Finance teams to deliver on time and within budget.

Qualifications

• 2–5 years’ experience in project coordination or retail operations.
• Experience managing cross-functional projects with clear deadlines.
• Knowledge of JBP processes and retail calendars is a plus.
• Confident communicating across teams and prioritising tasks.

Responsibilities

• Support the Retail and Commercial Accounts teams with planning and delivery of key retail projects.
• Own the execution of the annual retail calendar and JBP delivery plan with clear actions, owners and deadlines.
• Coordinate cross-functional delivery across Commercial, Brand, Creative, Digital, Retail Operations, Finance and Field teams.
• Build and manage critical paths for product launches, retail activations, new door openings, gondolas and VM updates.
• Maintain a central source of truth for retail projects and provide regular progress updates.
• Report directly into the Head of Projects to elevate blockers, risks or resourcing dependencies.
• Proactively review risks and recommend actions to resolve.
• Partner with internal teams to ensure retail activity is delivered on time and within budget.
• Track project budgets, quotations and invoices, ensuring governance requirements are followed.
• Attend retailer meetings and translate outcomes into clear plans and actions.

Job description

The Projects Coordinator is the cross-functional coordinator across Retail, Field Teams, Brand Marketing, and Digital — making the operational delivery of the business plan happen.

You take the business calendar, trading plans, retail strategy and brand marketing approach — agreed at senior level — and own the delivery plan that flows from it. You make sure every team that needs to act on a retailer decision knows about it, understands their deadline, and delivers against it.

The Head of Delivery assigns tasks and projects to you on sign-off to plan and manage through to delivery. You own the milestones, the cross-functional coordination, and the delivery — reporting on progress and escalating back only when a new strategic decision is needed.

Projects allocated to this role will evolve to reflect business priorities, while also ensuring a breadth of experience across REFY.

KEY RESPONSIBILITIES

• Support the Retail and Commercial Accounts teams with the planning and delivery of key retail projects.

• Build and manage critical paths for product launches, retail activations, new door openings, gondolas and VM updates.
• Maintain a central source of truth for retail projects and provide regular progress updates to key stakeholders.

SKILLS, KNOWLEDGE AND EXPERIENCE

• 2–5 years’ experience in project coordination, project management or retail operations within a fast-paced business.
• Retail experience is highly desirable, ideally within beauty, fashion, FMCG, supermarkets or a similar consumer-led industry.
• Experience managing cross-functional retail projects, with knowledge of JBP processes, gondolas or VM delivery advantageous.
• Strong organisational skills, with the ability to manage multiple projects, stakeholders and deadlines simultaneously.
• Confident communicating across teams, coordinating others and speaking up when decisions or actions are required.
• Commercially aware, proactive and comfortable taking ownership in a fast-paced environment.
• Confident using Asana or similar project management software, alongside Microsoft Office or Google Workspace
