Qualifications

Job description

Job Title: Project Support Coordinator
Department: Sytner IT – Business Team
Location: Leicester (minimum 4 days per week in-office)
Reports to: Business Systems Lead


About the role

We are seeking a proactive and detail-oriented Project Support Coordinator to join our Business Team within Sytner IT. This role is essential in maintaining structure, governance, and momentum across a variety of initiatives, particularly those involving our Dealer Management System (DMS), internal systems, and third-party solutions.

You'll work closely with internal stakeholders and third-party suppliers, ensuring administrative processes are watertight, progress is visible, and dependencies are actively managed. The ideal candidate is highly organised, confident managing competing priorities, and comfortable enforcing process discipline where required.

Please note: This is an office-based role requiring a minimum of four days per week in our Leicester head office.


Key Responsibilities:

Third-Party Engagement & Controls:

  • Ensure Statements of Work (SoWs) and related documentation are accurate, complete, and signed off prior to engagement.
  • Track supplier commitments and escalate where timelines or deliverables are at risk.

Governance & Compliance:

  • Monitor and enforce internal controls and governance relating to our DMS and wider business systems.
  • Support annual user access reviews and other recurring compliance checks.

Project Coordination:

  • Maintain and regularly update tracking logs for initiatives across the team's project workload.
  • Identify and escalate blockers to delivery, ensuring updates are shared with key stakeholders.
  • Drive follow-up on agreed actions and timelines across team members and partners.

Team Support & Resilience:

  • Provide administrative support to Business Systems Analysts and Product Managers as needed.
  • Act as a point of continuity during periods of absence within the team, ensuring tasks are picked up and progressed.

What You'll Bring:

  • Strong organisational and communication skills, with the ability to follow up persistently and professionally with excellent attention to detail.
  • Experience in an IT, business operations, or systems support role.
  • Confidence working with documentation, contracts, or statements of work.
  • A methodical approach to process, governance, and compliance.
  • Ability to coordinate across teams, track progress, and keep activity moving forward.
  • A collaborative, roll-up-your-sleeves attitude, with a focus on delivery and detail.
  • Ability to manage competing priorities and communicate effectively

Desirable:

  • Familiarity with Dealer Management Systems or ERP platforms.
  • Exposure to IT governance, risk, or compliance processes.
  • Experience supporting project or product teams in a structured business environment.
