Job summary

The University of Warwick undertakes a diverse Minor Works portfolio and is seeking an administrator to deliver end-to-end administration, estimating and commercial support for small refurbishments, repairs and space moves. You will coordinate directly employed labour, schedule statutory and planned works, and work with external contractors to ensure timely delivery and documentation.

• Prioritise and schedule statutory, planned, defect repairs, minor works and deploy labour.
• Engage specialist contractors as required and monitor service quality to ensure compliance.
• Assist in developing procedures to support the Estates Maintenance Strategy and Asset Management Plan.
• Carry out Safe Systems of Work (risk assessments, COSHH assessments) and ensure compliance.
• Contribute to apprentice training programmes and provide mentoring for apprentices.

About the Role

Under the direction of the Minor Works Manager and working with other members of the Maintenance Management Team, provide end-to-end administration, estimating, and commercial support for a portfolio of Minor Works projects typically but not limited or specific to; small refurbishments, repairs, compliance works, and space moves. Ensure works are accurately costed, procured in line with procedures, delivered to programme, and documented in accordance with university standards.

The Minor Works Team delivers small and medium sized project works, supporting Maintenance, Projects and reactive works across the campus. Minor works will also work with core teams on summer work programmes, life cycle works and client-based requests, such as refurbishments, refits and repurposing.

About You

You will manage the directly employed labour on a day-to-day basis in accordance with university policies and guidance for staff management, provide clear direction on maintenance standards. Prioritise and schedule statutory, planned, defect repairs, minor works and organise and deploy directly employed labour, engage specialist contractors as required, monitor service quality of completed works to comply with all necessary legislation and to the University's accepted standards. You will assist with development of procedures and processes to contribute to the Estates Maintenance Strategy in support of the Universities Strategic Asset Management Plan, carry out Safe Systems of works e.g., Risk Assessments, COSHH assessments and ensure compliance, carry out and record regular H&S inspections as defined by the Maintenance Management Team and implement closure of actions. Carry out regular dip checks on staff performance. You will assist in the production and evolution of apprentice training program. Implement training program and monitor progress both practically and academically. Provide support and mentoring for all apprentices working within the section.
