Job summary

White Horse Employment is assisting a construction client by recruiting a Project Coordinator to provide practical project coordination, governance and administrative support for an ERP implementation. The role ensures plans, actions, risks and deliverables remain visible and actively followed up, bringing structure and momentum across internal workstreams and suppliers.

This is a delivery-support position, not the overall PM, requiring strong organisational skills, Microsoft 365 proficiency,

Qualifications

  • Experience supporting technology, transformation or business change projects in a project coordinator or PMO role.
  • Experience maintaining project plans, actions, risks and documentation.
  • Strong organisational skills and attention to detail.
  • Ability to confidently follow up actions and manage stakeholders.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft 365 and project/task management tools.
  • Able to work independently and elevate issues proactively.

Responsibilities

  • Maintain project plans, milestones and delivery schedules.
  • Keep Azure DevOps tasks updated with clear ownership, deadlines and status.
  • Follow up overdue actions and elevate risks to delivery.
  • Maintain project risk, issue, action, dependency and decision logs.
  • Coordinate project meetings, agendas, minutes and action tracking.
  • Produce weekly project status reports covering progress, risks, issues and key decisions.
  • Maintain accurate project documentation and audit trails.
  • Support change control by recording requests, approvals and impacts.
  • Coordinate activity across workstreams, implementation partners and suppliers.
  • Track supplier commitments, deliverables and dependencies.
  • Ensure stakeholders understand and meet agreed actions and deadlines.
  • Escalate blockers and support timely resolution.
  • Coordinate testing and UAT activities, including defect and sign-off tracking.
  • Monitor data migration, training and business readiness activities.
  • Support cutover and go-live planning through readiness tracking.
  • Assist transition to business-as-usual and project close-down activities.

White Horse are thrilled to share this exciting opportunity for a Project Coordinator for our construction client, who prides itself on establishing lasting client relationships and the dedication and commitment has been reflected by their increased client base and feedback that they receive.

Opportunity

To provide practical project coordination, governance and administrative support for the ERP implementation. The role will ensure that plans, actions, risks, decisions and deliverables remain visible, current and actively followed up. The postholder will bring structure and momentum to the project, coordinating across internal workstreams and suppliers while escalating issues that require senior decisions. It is a delivery-support role rather than the overall Project Manager or Project Owner role.

Key responsibilities
  • Project Planning & Control
    • Maintain project plans, milestones and delivery schedules.
    • Keep Azure DevOps tasks updated with clear ownership, deadlines and status.
    • Follow up overdue actions and elevate risks to delivery.
    • Maintain project risk, issue, action, dependency and decision logs.
  • Governance & Reporting
    • Coordinate project meetings, agendas, minutes and action tracking.

About you
Essential Experience & Skills -
  • Experience supporting technology, transformation or business change projects in a Project Coordinator, PMO or similar role.
  • Experience maintaining project plans, actions, risks, issues and documentation.
  • Strong organisational skills and attention to detail.
  • Ability to confidently follow up actions and manage stakeholders.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft 365 and project/task management tools.
  • Able to work independently and elevate issues proactively.
Desirable Skills:
  • Experience of ERP, finance system or business system implementations.
  • Exposure to testing, UAT, data migration, training or go-live activities.
  • Familiarity with Azure DevOps or similar platforms.
  • Experience working with external suppliers or implementation partners.
  • PRINCE2 Foundation, APM or equivalent project management qualification (or willingness to work towards one).
Measures of success:
  • Project plans, logs and Azure DevOps records are accurate and current.
  • Actions have clear owners and deadlines, with overdue items followed up promptly.
  • Risks, issues and dependencies are identified early and escalated through the agreed route.
  • Weekly reporting provides a reliable view of delivery status and required decisions.
  • Meetings produce clear outcomes, ownership and follow-through.
  • Testing, readiness and cutover activities remain visible and coordinated against the project plan.
