About The Song School: The Song School is a Community Interest Company building community through music making in Southend-on-Sea. We offer music programmes for children and young people regardless of their circumstances, including weekly sessions in instruments, vocals, songwriting, production, and performance. Our mission is to ensure every young person can access quality music education through our Song School Fund and community partnerships.

The Role

We’re looking for a highly organised, friendly and reliable Programme & Onboarding Admin Assistant to help deliver a brilliant experience for new members and their families.

This is a great first role for someone who enjoys helping people, keeping things organised, and being part of a community-focused team. You’ll be supported and trained in our systems and processes.

Working closely with the Sales and Marketing Executive, key responsibilities include:

  • Be the first point of contact for new member enquiries (website, email, phone and social messages)
  • Respond warmly and clearly, and make sure families know the next steps
  • Support new member onboarding: registrations, welcome info, and start dates
  • Keep records accurate and up to date in our systems

Admin & coordination

  • Support programme admin using My Music Staff, Google Drive and Squarespace (training provided)
  • Help keep key documents organised and easy for the team to find
  • Support the Sales & Marketing Executive with light admin tasks (e.g. scheduling, pulling info together, basic reporting)

Community & events

  • Support occasional event admin and set-up (within your agreed hours), helping sessions run smoothly
  • Friendly, confident communication (written and verbal)
  • Strong organisation skills and attention to detail
  • Comfortable speaking with parents/carers and young people in a welcoming, professional way
  • Reliable and able to manage tasks independently once trained
  • Genuine interest in community impact work
  • Interest in music (you don’t need to be a musician)

Hours: Flexible around our operating schedule. Ideally Monday, Tuesday and Saturday (12 hours total per week).
