Job summary

Westminster School in London is seeking a Reprographics Technician to manage print production workflows, operate digital printers and finishing equipment, and ensure high-quality output for school events.

You will handle stock, procurement, and service coordination with the Reprographics Manager, provide guidance to staff on using print devices, and maintain accuracy and confidentiality in line with safeguarding policies.

Responsibilities

  • Contribute to the reprographics workflow, including job intake, preparation, production, finishing and quality checks
  • Support staff with routine print requests and seek guidance from the Reprographics Manager where advice on formats, materials or finishing options is required
  • Carry out minor layout or file preparation tasks where required to help ensure files are print-ready and suitable for high-quality output
  • Check finished materials for presentation, durability and accuracy, particularly for public-facing and high-profile School events
  • Contribute to high-volume and deadline- driven reprographics work, including seasonal peaks and School events, under appropriate supervision and as part of the development of practical print production skills
  • Handle confidential and sensitive print jobs securely, in line with School safeguarding and data protection policies
  • Provide additional reprographics support to the Under School where in-house production assistance is required
  • Operate digital production printers, multifunction devices (MFDs) and professional finishing equipment used for cutting, binding, folding, perforating, drilling and booklet production
  • Set up, adjust and safely operate finishing machinery following appropriate guidance and training
  • Carry out routine checks, first-line troubleshooting and basic preventative maintenance on reprographics and finishing equipment
  • Report faults or equipment issues promptly and support maintenance visits where required
  • Monitor output quality, consumables usage and basic equipment performance, escalating issues where appropriate
  • Assist with maintaining stock levels of paper, media, binding, laminating materials and other consumables
  • Monitor usage and highlight when supplies need to be reordered to support continuity of service
  • Support the coordination, organisation and distribution of toner and other printer consumables across the School, helping to maintain appropriate stock levels and ensure print services remain available where needed
  • Support the Reprographics Manager and IT Operations Manager with supplier, service provider and maintenance-related activity where required
  • Carry out practical tasks linked to procurement, stock management or cost-efficiency initiatives related to print operations
  • Where appropriate, gain exposure to wider IT Operations activity, particularly where this relates to print services, MFDs, equipment support, supplier coordination, stock control, device preparation or practical support for larger IT projects
  • Provide routine guidance and practical advice to teachers and support staff on using MFDs and other print equipment safely and effectively, and on how best to achieve the print, production or finishing outcomes they require, escalating complex queries where needed
  • Communicate clearly with staff regarding job requirements, timelines and progress
  • Maintain high customer service standards, responding promptly and professionally to requests and queries
  • Identify practical opportunities to improve quality, efficiency or sustainability within the reprographics service
  • Digital production printers, multifunction devices, finishing equipment, paper stock, consumables and associated publishing or workflow tools used within the reprographics service
