Practice Assistant - Corporate
Hybrid: 2 days in the office, 3 days at home
Owen Reed is looking to recruit a highly motivated Practice Assistant to support the Corporate team for a top law firm in London.
We advise on a wide spectrum of contentious and non-contentious corporate matters, with clients including global corporates, private equity funds, AIM listed companies (and Nomads), as well as entrepreneurial owner/managed businesses. While most transactions in 2010/11 ranged from £10m to £40m, we also handle smaller deals. Our team possesses extensive expertise, particularly in publishing, radio, hotel and leisure, sovereign wealth funds, partnerships, and healthcare.
Responsibilities of Practice Assistant
Organisational Support
- Manage diaries proactively and efficiently, understanding Fee Earners' workloads to plan ahead with minimal supervision.
- Process relevant applications, forms, or searches independently.
- Maintain good knowledge of all systems and processes used within the Department.
Client Relationship and Business Development
- Provide excellent, timely, and professional service to internal and external clients, maintaining a positive image of the Firm.
- Act as a first point of contact for Fee Earners.
- Assist with marketing communications and record all business development meetings in InterAction.
- Respect and maintain client confidentiality at all times.
Document Production
- Create high-quality typed documents, formatted according to house style, quickly and accurately.
- Utilize the Document Management System effectively.
- Create new documents from templates, using contact data from InterAction when appropriate.
- Proofread documents for spelling, grammar, and clarity, querying wording as needed.
IT Skills/Systems
- Maintain proficiency in core IT applications, including the Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
File Management
- Work proactively with Fee Earners to keep files up-to-date, closed, and archived as appropriate.
- Maintain accurate records of files sent to off-site storage via Records.
Financial and Risk Management
- Prepare bills as required by Fee Earners.
- Prepare AML documentation and obtain relevant client documentation promptly.
- Conduct conflict searches and correctly identify the work type.
Skills and Experience
- Qualified to GCSE standard, grade C or equivalent in Mathematics and English.
- Previous secretarial experience in a law firm is essential.
