Job summary

Sofina Foods is seeking an administrative assistant to support the Pig Buying team in Malton. This part-time role offers 4 hours per day, 5 days per week with flexible hours, and involves maintaining accurate information, coordinating with suppliers and internal teams.

You will input and update data across systems, manage movement licences information, and produce reports. Proficiency in Excel is required; experience with SAP or similar databases is advantageous.

The Role

The role provides administrative and coordination support to the Pig Buying team, ensuring supplier, livestock movement, and traceability information is accurate and available when required.

Working closely with internal departments, suppliers, customers, and external industry bodies, you will maintain accurate records, support data and reporting requirements, and ensure key information is communicated effectively and within agreed timescales.

This is a part time position working 4 hours per day, 5 days per week. Working hours are flexible.

Your Key Responsibilities
  • Handle telephone and email enquiries from internal and external contacts
  • Input, update, and maintain accurate information across relevant systems and databases
  • Process and provide movement licence information as required
  • Liaise with external industry bodies, suppliers, customers, and internal departments
  • Check and audit data to ensure accuracy, consistency, and compliance with company policies
  • Collate figures and maintain Excel spreadsheets and departmental reports
  • Produce reports and information for the department and management team
  • Maintain accurate records through scanning, filing, and document control
  • Identify and raise data or process issues with the appropriate colleagues
  • Support traceability audits and follow up actions
  • Build effective working relationships with key internal and external contacts
  • Undertake other reasonable duties as required by the Head of Pig Buying
The Ideal Candidate
  • Previous experience within an administrative role
  • Strong attention to detail with a high level of accuracy
  • Experience with data input, reporting, and maintaining records
  • Confident using Microsoft Office, particularly Excel
  • Experience using SAP or other databases would be advantageous
  • Strong communication and organisational skills
  • Able to work collaboratively with internal and external stakeholders
  • An agricultural background would be advantageous
