Job summary

AIT Worldwide Logistics, Inc. is seeking a Pharma Operations Coordinator to coordinate international shipments across air, ocean and surface modes. You will manage bookings, documentation and customer communications to ensure regulatory compliance and on-time delivery.

The role requires 2 years in international forwarding, fluent English, and a background in customer service. Pharma logistics experience is preferred and familiarity with CargoWise is a plus.

Qualifications

• 2 years prior experience in international forwarding.
• Fluent English required for communication.
• Proven track record in customer service activities.
• Experience in pharma logistics and supply chain preferred.
• CargoWise Software experience is a plus.

Responsibilities

• Coordinate international air, ocean and surface export shipments from booking through final delivery.
• Prepare accurate and profitable quotations in line with customer needs and compliance requirements.
• Partner with customers to understand shipping requirements and provide tailored logistics solutions.
• Manage shipment documentation and ensure compliance with GDP, GMP, Dangerous Goods and other regulations.
• Monitor shipment progress, resolve delays, and keep customers informed.
• Coordinate with carriers, ports, cartage agents and internal teams to ensure smooth operations.
• Ensure adherence to customer SOPs, KPIs, quality standards and patient safety requirements.
• Manage operations including shipment tracking, data entry, billing, stock checks and quality documentation.
• Support onboarding/training of team members and drive continuous improvement.

Overview

As a Pharma Operations Coordinator, you will be responsible for coordinating, monitoring, and managing all communications related to the day-to-day export of international freight forwarding shipments across air, ocean, and surface transportation modes. You will ensure shipments are executed in line with customer requirements and contractual agreements, while proactively tracking progress and facilitating smooth operations throughout the process.

Responsibilities

• Partner with customers to understand shipping requirements and provide tailored logistics solutions
• Prepare accurate and profitable quotations in line with customer needs and compliance requirements
• Coordinate international air, ocean, and surface export shipments from booking through final delivery
• Manage shipment documentation and ensure compliance with GDP, GMP, Dangerous Goods, and other regulatory requirements
• Monitor shipment progress, proactively resolve delays or issues, and keep customers informed
• Coordinate with carriers, ports, cartage agents, international partners, and internal teams to ensure smooth operations
• Ensure adherence to customer SOPs, company KPIs, quality standards, and patient safety requirements
• Manage operational activities including shipment tracking, data entry, billing, stock checks, and quality documentation
• Support continuous improvement through compliance training, cross-functional collaboration, and onboarding/training of team members

Qualifications

• Educated to a good standard Math’s & English
• 2 Years Prior experience in international forwarding
• Fluent oral and written English is a must
• Proven track record in Customer Service-related activities
• Good experience in the transportation and/or supply chain solutions ideally in the Pharmaceutical sector
• Demonstrated work experience in process implementation, customer service and logistics preferably in/for the Life science sector
• CargoWise Software experience a plus
