Qualifikationen

• 5+ years of experience in freight forwarding operations.
• Experience with international forwarding processes and timelines.
• Fluent English with strong communication skills.
• Negotiation and stakeholder management capabilities.
• Experience with GDP-compliant, temperature-controlled shipments is a plus.

• Coordinate international import shipments across air, ocean, and road freight.
• Manage customer relationships by providing exceptional service and logistics expertise.
• Oversee customs clearance activities and ensure regulatory compliance.
• Monitor shipment progress and communicate updates to customers and stakeholders.
• Prepare accurate and profitable quotations aligned with customer requirements.
• Coordinate bookings and maintain effective communication with customers, agents, carriers, suppliers and service providers.
• Ensure adherence to customer SOPs, company KPIs, quality standards and billing requirements.
• Maintain GDP, GMP, Dangerous Goods, eQMS and other regulatory compliance for temperature-controlled shipments.
• Support continuous improvement through process optimization, documentation, and training.

Overview

As a Pharma Operations Coordinator - Import, you will be responsible for ensuring the smooth and timely processing of time-critical pharmaceutical imports from origin to final delivery, ensuring the safe and compliant movement of temperature-sensitive healthcare products in accordance with Good Distribution Practice (GDP) standards.

You will optimize and document operational processes, maintain compliance with customer and regulatory requirements, and build strong customer relationships through proactive communication and high-quality service to maintain product integrity throughout the supply chain.

Responsibilities

• Coordinate international import shipments across air, ocean, and road freight, ensuring timely and efficient delivery
• Manage customer relationships by providing exceptional service, support, and logistics expertise
• Oversee customs clearance activities and ensure compliance with all applicable regulations and standards
• Monitor shipment progress, proactively address delays or issues, and communicate updates to customers and stakeholders
• Prepare accurate and profitable quotations aligned with customer requirements
• Coordinate bookings and maintain effective communication with customers, agents, carriers, suppliers, and service providers
• Ensure adherence to customer SOPs, company KPIs, quality standards, and billing requirements
• Maintain compliance with GDP, GMP, Dangerous Goods, eQMS, and other regulatory requirements, including temperature-controlled shipments
• Support continuous improvement through process optimization, documentation, compliance training, and knowledge sharing

Qualifications

• 5+ Years experience in a Freight Forwarding role with vast knowledge of end-to-end processes
• Working experience in international forwarding
• Previous experience with time critical / temperature controlled GDP shipments an advantage
• Fluent English skills
• Negotiation skills and excellent communication skills
• CargoWise knowledge is a plus
