Personal Assistant to the Managing Director (job476) Evesham, England

We have an exciting opportunity for a Personal Assistant to join our team. This position is well-suited to an enthusiastic, highly organised team member with excellent communication and interpersonal skills.

This position reports directly to the Managing Director. As a Personal Assistant, you will be the primary point of contact for internal and external stakeholders engaging with the Managing Director, ensuring the smooth and efficient operation of the MD's office.

Responsibilities:

  1. Executive Support
  2. Maintain and coordinate the MD’s calendar.
  3. Act as gatekeeper for the MD’s time and communications, ensuring key priorities are protected.
  4. Provide diary and logistical support for other EMB members, particularly for meetings involving the MD.
  5. Organise inductions for all new direct reports to the MD.
  6. Collate and submit monthly credit card expenses for the MD, Finance Director, Operations Director, and yourself.
  7. Screen and manage correspondence, calls, and requests to the MD with discretion and efficiency.
  1. Meeting and Event Coordination
  2. Organise and attend key leadership meetings, including:
  3. Prepare agendas, circulate papers, and take minutes, following up on action items as needed.
  4. Liaise with the Company Secretary on Board meeting scheduling and materials.
  5. Coordinate the MD’s participation in internal and external events, including speaking engagements.
  1. Internal Communications & People Initiatives
  2. Lead coordination of employee engagement and recognition programmes.
  3. Support planning and delivery of these initiatives.
  4. Act as a trusted liaison for People & Culture updates, sharing and collating communications.
  1. Operation & Administrative Support
  2. Manage the company’s Amazon business account and purchasing processes.
  3. Organise and oversee hospitality arrangements for key visitors or events, including travel, hotels, and itineraries.
  4. Build and maintain relationships with preferred hotels; manage rate agreements and renewals.
