Job description

We are working exclusively with our client on this exciting opportunity, offering a fantastic chance to join an established and successful business in a key support role to the Managing Director. Due to our close partnership with the organisation, we are ideally placed to provide further insight into the role and the business throughout the recruitment process.

About the role

We are recruiting for an experienced Personal Assistant to provide high-level support to the Managing Director. This is an excellent opportunity for a proactive, highly organised and confident individual who enjoys working in a fast-paced environment, managing competing priorities and taking ownership of projects and business activities.

This is much more than a traditional PA role. You will act as a trusted right hand to the Managing Director, ensuring his time is managed effectively, key priorities remain on track and important business initiatives are progressed. The successful candidate will have the confidence to use their initiative, make informed decisions and constructively push back when necessary, ensuring the MD remains focused on the most important commitments.

Key responsibilities
  • Manage a complex and frequently changing diary, prioritising appointments and resolving scheduling conflicts.
  • Coordinate meetings with internal teams, clients, suppliers and external stakeholders, ensuring the MD is well prepared.
  • Prepare meeting agendas and documentation, take minutes where required, and track actions through to completion.
  • Take ownership of project coordination, monitoring deadlines, following up with stakeholders and ensuring agreed actions are delivered.
  • Proactively identify potential issues, highlight priorities and recommend solutions where appropriate.
  • Arrange business travel, accommodation and itineraries, alongside managing expenses and receipts.
  • Manage correspondence and provide wider administrative and business support as required.
  • Build strong working relationships across the business, communicating professionally with stakeholders at all levels.
  • Handle confidential and commercially sensitive information with discretion.
  • Identify opportunities to improve processes, embrace new ways of working and utilise AI tools to improve efficiency and productivity.
About you

We are looking for an experienced Personal Assistant who has supported a Managing Director or senior executive and is comfortable operating at a high level. You will be organised, forward-thinking and solutions-focused, with the ability to anticipate requirements rather than simply react to them.

You will bring a confident and professional approach, with the judgement and personality to manage competing demands, challenge constructively and ensure commitments are followed through. You will be comfortable working independently, taking ownership of projects and holding others accountable for agreed actions, while maintaining positive and collaborative working relationships.

You will also have:

  • Proven experience providing PA support at Managing Director or senior executive level.
  • Excellent diary management and organisational skills, with the ability to prioritise effectively.
  • Strong project coordination skills and experience monitoring actions, deadlines and deliverables.
  • Excellent communication and stakeholder management skills.
  • Experience arranging travel and managing expenses.
  • Strong IT skills, including Microsoft Office, and an interest in using AI tools to improve efficiency.
  • A high level of discretion, attention to detail and professionalism.
  • The confidence to use your initiative, make decisions and adapt to changing priorities.

Due to the volume of enquiries, we are unable to respond to everyone individually. If you have not heard from us within 5 days, please assume your application has not been successful on this occasion. Thank you for your interest.
