Job summary

Vypr is seeking a Personal Assistant and Office Manager to support the executive team in our Manchester HQ. You will optimise calendars, coordinate meetings, and prepare briefing materials for the leadership group, enabling the team to focus on high-value activities.

You will manage the office operations, coordinate travel and events, and work closely with the People team to maintain a positive, high-performing workspace in a fast-growing private equity-backed SaaS business.

Qualifications

  • Previous experience as Personal Assistant, Executive Assistant, Team Assistant, or Office Manager
  • Experience supporting senior leaders in a fast-paced environment
  • Exposure to scale-up or high-growth businesses
  • Exceptional organisational and time management skills
  • Highly proactive; anticipates needs and completes tasks
  • Strong attention to detail and high-quality delivery
  • Excellent communication and interpersonal skills

Responsibilities

  • Enabling Leadership effectiveness: Manage complex calendars for the Exec team, coordinate meetings, prepare briefing materials, support meetings by capturing decisions and tracking actions.
  • Coordinate internal and external meetings, including scheduling, logistics, agendas and follow-up actions.
  • Prepare briefing materials, presentations and supporting documentation for executive meetings and events.
  • Support Exec meetings by managing agendas, capturing key decisions and tracking actions to completion.
  • Provide administrative and operational support to the executive team on business and personal matters, including travel, accommodation and event planning.
  • Coordination and communication: Act as a central coordination point across teams and stakeholders
  • Ensure smooth scheduling and organisation of key business rhythms
  • Work with IT to support onboarding/offboarding
  • Design and run the company’s operating cadence (Exec, Board, All Hands)
  • Prepare high-quality board packs, reports, minutes and strategic materials
  • Office and People operations: Own the day-to-day running of the Manchester office
  • Create a welcoming, organised, and high-performing office environment
  • Manage office suppliers, facilities, and resources
  • Support the People team with administrative tasks and data management
  • Be a visible and trusted presence in the office
  • Deliverables and culture: Ensure leadership is well-supported, visible priorities, high-quality office experience
  • Smooth coordination of meetings, schedules, and key business activities

ThePost Holderwillberesponsible formaximising the effectiveness of Vypr’s executive team by ensuring leaders are organised, informed, prepared and focused on the highest-value activities.

What you will do
1. Enabling Leadership effectiveness
  • Manage complex calendars for theExecteam, ensuring time is aligned to business priorities and strategicobjectives.

  • Provide administrative and operational supportto the executive team on both business and personal matters,that enables the executive team to focus on high-value strategic activities, such as coordinating travel, booking accommodation, event arrangments and calendar management of key dates.

  • Work with our IT function to support smooth onboarding and offboarding of employees
