Job Role: Personal/Administrative Assistant

Location: New Milton

Hours: 35 hours per week - Monday to Friday

Main Purpose of Job

We are seeking a proactive and highly organized PA/Admin Assistant to support the Business Services team. This role is pivotal in ensuring the smooth day-to-day operation of the department by providing administrative support to the Director of Business Services and assisting with coordination across key business functions.

Key Accountabilities

  • Provide high-quality administrative support to the Director of Business Services.
  • Manage diaries, schedule meetings, and coordinate appointments across internal and external stakeholders.
  • Prepare and format documents, reports, presentations, and correspondence to a professional standard.
  • Organize meetings, including room bookings, agendas, minutes, and follow-up actions.
  • Support the coordination of projects, ensuring deadlines are tracked and met.
  • Maintain accurate records, filing systems, and databases in line with company standards.
  • Handle incoming communications (emails, calls, post), prioritizing and responding as appropriate.
  • Process expenses, purchase orders, and invoices in a timely manner.
  • Arrange travel and accommodation when required.
  • Support team-wide administration.

Person Specification

Experience

  • Proven experience in an administrative or PA role, ideally within a business services, corporate, or professional services environment.
  • Strong organisational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • High attention to detail and a proactive, can-do attitude.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Discretion and professionalism when dealing with confidential or sensitive information.
  • Ability to work independently and as part of a team.

Desirable

  • Experience supporting senior leaders or multiple stakeholders.
  • Knowledge of office and business systems, including document management tools and CRM platforms.
  • Understanding of basic finance processes such as invoicing or budgeting.
