You’ll be encouraged to identify and draw attention to opportunities for enhancing our delivery and providing additional services to organisations we work with.

You will join the AQD operations team to assist with the provision of an efficient, effective, and professional administrative support service to the Audit Quality Department.

The role will focus on providing PA support to 3 partners as well as dedicated administration for two sub-teams within AQD. You will also assist with the operational needs for the whole department and will include day-to-day tasks, project work and ad hoc requests.

In this role you will be expected to build a strong, direct working relationship with senior members of AQD as well as the wider administration team, to ensure the smooth running of the department. You will report directly to a senior administrator/PA and ultimately be reporting to the Operations Manager.

You will be expected to operate with the highest integrity given the sensitive nature of information that you will come across through your work.

RESPONSIBILITIES:

  • Maintain and co-ordinate diaries of 3 Partners and team leaders as required as well as providing an effective time management approach
  • Arranging travel, managing expenses etc for partners
  • Responsible for dedicated admin for two sub teams including updating trackers, team management and monitoring of project plans and general day-to-day requests of all team members including booking meetings and rooms
  • Creating and maintaining rotas for team helplines
  • Responsible for a range of administrative and operational duties including across the directorate and also providing PA and admin cover
  • Action ad-hoc requests in a timely, effective, and prioritised approach
  • Continuously review and assess current processes and procedures, feeding back any suggestions to the team
  • Work closely with the AQD operations team to support local management and ensuring the smooth and efficient operation of the department

REQUIREMENTS:

  • Previous experience of office/administration services assistant
  • Previous experience of Workday ideal but not essential
  • Excellent knowledge of all Microsoft packages, especially Excel (intermediate knowledge an advantage) PowerPoint, OneNote
  • Strong team worker
  • Organisational skills
  • Attention to detail
  • Accurate keyboard skills
  • Excellent communication skills, both written and oral
  • Be flexible and able to adjust quickly when priorities change
  • Ability to work in a busy environment, meet deadlines, and to respond quickly
