We are seeking a highly organised and detail-oriented Personal Assistant/Secretary to join our team on a part-time basis. The ideal candidate will have experience in secretarial and PA roles, with strong skills in diary management, meeting arrangements, and general administrative support.

Key Responsibilities:

  • Arrange meetings, manage diaries, book venues, and catering as required.
  • Attend meetings and transcribe notes into minutes.
  • Utilise Microsoft Office Suite efficiently.
  • Use Microsoft Teams to present information and assist the chair, as well as take notes.
  • Assist Directors with expense claims.
  • Monitor shared inboxes for projects.
  • Create and maintain a photo library, working with Communications and Project Managers to collate photos and images for each project.
  • Upload materials to SharePoint and maintain the SharePoint site.
  • Create presentations using PowerPoint.
  • Handle figures and data with accuracy.
  • Maintain attention to detail in all tasks.
  • Experience with Agresso is a plus.
  • Provide general administrative support to the wider team and assist senior managers as needed.

Required Qualifications:

  • Proven experience in a secretarial or PA role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with Microsoft Teams.
  • Strong organisational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy in all tasks.

Preferred Qualifications:

  • Experience with Agresso.
  • Familiarity with SharePoint and document library management.
