Job description

PA to Deputy Directors (SCS1) - UK Space Agency

Location: UK Space Agency, Quad 2 Rutherford Avenue, Harwell Oxford Didcot OX11 0DF United Kingdom

If you're the kind of person who thrives on organisation, calm judgement and getting the details right, this is a fantastic opportunity to support senior leaders and keep their day-to-day running smoothly. Our Client is a reputed organisation, and you'll play a vital role in helping leaders focus on delivery-while you handle the administration that makes it possible.

What you'll be doing:
  • Booking and managing travel and accommodation for two Deputy Directors (and, occasionally, those travelling with them)
  • Managing diaries, including weekly meetings with your principals to ensure they're fully prepared for upcoming commitments
  • Arranging meetings-at UK Space Agency premises and externally-booking rooms and sourcing suitable venues
  • Handling invitations and meeting requests, prioritising matters on behalf of your principals to make the best use of their time
  • Providing logistical guidance for delegates (nationally and internationally), including accommodation and best travel options
  • Supporting meeting/event delivery with practical admin-bookings, catering orders, and organising equipment such as projectors and teleconference facilities
  • Managing correspondence: responding where appropriate, directing emails to the right people, and flagging urgent items
  • Ensuring meeting administration is completed effectively (reminders, agendas and supporting paperwork)
  • Maintaining accurate records and filing systems, plus general admin support for ongoing projects
  • Supporting with refunds and expenses
What you'll bring:
  • A trusted, organised approach to working autonomously and managing your own time
  • Confidence in diary and travel management, with strong attention to policy and procedure (especially for travel)
  • Excellent coordination skills for meetings, venues, delegates and day-to-day administration
  • Clear communication and professional judgement when triaging correspondence
Additional information:
  • You’ll work with guidance from your Line manager and alongside the Executive Assistant (EA), while also working directly with your principals and covering absence for other deputy directors when needed

If you'd like to bring your organisation, discretion and people-first support to a role where your work genuinely keeps leadership moving, we'd love to hear from you.
