We are seeking a Pensions and Benefits Analyst (with one+ years pensions experience in the UK) who will be seconded to one of our clients. The secondment is an on-going role within our client's Human Capital Management (HCM) division in Birmingham.

This position supports the administrative and operational aspects of UK pensions and benefits as well as some exposure across provision within EMEA. Our client is seeking a professional with strong analytical and communication skills, enthusiasm, and intellectual curiosity.

The ideal candidate will support the team in the administrative and governance aspects of the benefit provision to employees in the UK.The candidate will also work closely with the team to ensure accurate contributions are deducted and paid as well as delivering board and committee meetings efficiently. This position is at the Analyst level and office based in Birmingham.

RESPONSIBILITIES

Support the UK Pensions and Benefits team, to deliver operational aspects of strategy, governance, technology and day-to-day processing of UK benefits including:

STRATEGY

  • Support the UK Pensions team on strategy (related to EMEA pensions and benefits) with a significant focus on the UK.

GOVERNANCE:

  • Manage all of the logistics to organise approximately 20 Trustee board meetings and committee meetings per annum.
  • Support the preparation of the agenda and circulate notices of Trustee meetings in a timely manner.
  • Liaise with advisers (and HCM) to prepare papers, co-ordinate reviews of papers ahead of pack compilation with executive summaries and ensure signed off.
  • Work with the team to plan the timetable for the preparation steps and distribution of meeting packs.
  • Attend the meetings, distribute minutes and actions for review on a timely basis.
  • Collate feedback, update the minutes and issue the final revisions and actions.
  • Acknowledge and respond to queries from Trustees, HCM, advisers and employees
  • Follow up and monitor progress of action points to ensure they are completed.
  • Set up, coordinate and maintain the annual calendar of meeting dates, forward agendas and statutory items for the Trustee board, Trustee sub-committees, Pensions Executive Committee and HCM retirement team.
  • Day to day management and arranging regular review of governing documents, for example: Risk Registers, Conflicts of Interest, Terms of Reference, Delegations.

OPERATIONS:

  • Support day-to-day administration of UK pension and benefits programmes
  • Leading on monthly UK payroll processes (benefit election changes, employee new hires and transfers, monthly reporting)
  • Support monitoring of the internal Benefits mailbox (answering questions from employees and advisors)
  • Support administration related to International Medical Plan including population tracking, enrolment emails, census files, payrolls and queries
  • Supporting benefits related projects (annual renewals, taxation reporting)
  • Support administrative aspects of trustee and employee communications
  • Support the day-to-day administrative aspects of UK pensions vendors to assist the team is compliant with vendor requirements and on-boarding and off-boarding
  • Support managing vendor tech risk as required and assist the quarterly EMEA Tech Risk Reviews
  • Support the administrative aspects of EMEA benefits working with MI and broader benefits team as necessary
  • Liaise and engage with the Trustee’s vendors, internal stakeholders and Trustee advisers to support administrative aspects

OTHER:

  • Support on streamlining processes
  • Support operational matters to the business including updating stakeholders (postings), presentations and other stakeholder management documentation
  • Support on administrative aspects of merger, acquisition and sale activity as required
  • Support operational aspects of EMEA pensions projects as required

IDEAL SKILLS

  • At least one year of UK pensions experience and working knowledge of administration support preferred
  • Working knowledge of Defined Benefit (DB) and Defined Contribution (DC) pension arrangements
  • Strong organization skills with superior attention to detail and excellent follow-through
  • Results-oriented; ability to successfully manage multiple tasks, take initiative to improve own performance, and ability to work intensely towards challenging goals in the face of obstacles or setbacks
  • Ability to develop relationships with broad base of stakeholders
  • Good communication, influencing and persuasion skills and comfortable working in a global team that both welcomes and challenges new ideas
  • Strong analytical and problem solving skills; ability to perform detailed analysis of problems and identify resolutions; understands when and how to escalate issues to manage risk
  • Innovative approach with ability and appetite to challenge existing processes/procedures
  • Creative strength to transform abstract ideas into tangible actions/products
  • Ability to operate in a work environment where teams may be spread across multiple locations
  • Self-starting and enthusiastic in approach to work
  • Good understanding of metrics management and reporting
  • Advanced computer literacy: Advanced Microsoft Office and Excel skills a requirement
