Rathbone Brothers is seeking a Payroll & Pensions Coordinator to support end-to-end payroll and pension administration across UK, Jersey, Guernsey, and Ireland. Hybrid role based in Liverpool, with responsibilities spanning data collection, external provider liaison, and regulatory compliance.

The role requires strong numerical/analytical abilities, attention to detail, and solid stakeholder collaboration across HR and Finance to ensure accurate payroll and pension processing.

Qualifications

  • Excellent numerical and analytical skills, attention to detail, ability to compare data, compile reports and reconcile concisely.

Responsibilities

  • Providing analysis on tiered pension auto enrolment approach across jurisdictions.
  • Assessing employees for auto enrolment and re-enrolment.
  • Keep abreast of UK, Jersey, Guernsey, and Ireland and Pension legislation changes, providing team training, as appropriate.
  • To collate and input variable monthly data within pre-agreed deadlines, seeking necessary authorisations as appropriate.
  • Coordinating the production of data supplied to external pension providers in preparation for senior sign off. Liaising with pension providers to ensure correct allocation to employee accounts.
  • Adhering to pension scheme rules across multiple jurisdictions, providing information to employees upon request.
  • Coordinating the reconciliation of pensions, allowances, deductions from pay, new joiners, leavers and permanent changes in preparation for counter review and Payroll Manager sign off.
  • Assisting with the processing of staff payroll, reconciliation, and report production.
  • Coordinating production of data supplied to payroll 3rd party providers such as Equiniti, CAF and Reward Gateway in preparation for senior sign off.
  • To continually review processes and working practices, ensuring an efficient payroll & pensions service whilst protecting payroll integrity and security.
  • General housekeeping duties such as maintaining pension brochure packs and archiving files. Maintaining filing systems in order that information is readily available to respond to enquiries.
  • Coordinating and reconciling pensions provider reports in preparation for management sign off.
  • Submitting pension provider reports across all the Group (UK, Jersey, Guernsey & Ireland).
  • Reviewing and updating departmental processes and procedures.
  • Maintain excellent working relationships with internal and external Stakeholders. Ensuring all SLAs are met, and that policies and procedures are adhered to as necessary
  • Work with stakeholders such as HR, Finance and 3rd parties to allocate costs and reconciliation of payroll and pensions outputs.

About the Role

To assist with the processing, administration, coordination and reconciliation of Group payroll and pensions production, in accordance with statutory regulations across UK, Jersey, Guernsey & Ireland jurisdictions.

Assessing employees in accordance with Auto Enrolment requirements, collating and distributing pension brochure packs where required.

Contributing to a specialist team working to tight internal and external deadlines within an ever-changing regulatory framework. Application of methodical and analytical approaches to payroll and pensions control principles and accounting practices are essential.

Regularly reviewing information found on a variety of external sources such as The Pensions Regulator and HM Revenue & Customs websites and keeping abreast of legislation changes.
