Job description

The real economy employs 3 billion people in frontline jobs, yet frontline teams are still left to choose between paper and Excel or decade-old workforce management solutions to take care of the most important part of their businesses - their people.

Enter Sona, the Frontline Operating System; an end-to-end platform to manage a shift-based workforce and empower its teams. Sona upgrades the functionality you expect from any workforce management software - including scheduling, time & attendance, HR, and Payroll - with industry-specific plugins, dedicated features to empower staff, and a consumer-grade experience that simplifies frontline work for everyone.

In just three years, we’ve already made a deep impact on the lives of tens of thousands of frontline workers and the operation of their organisations. We’ve grown the team to 100+, and following our recent $27.5M Series A fundraise, have secured the backing of notable VC’s including Felicis, Northzone, Gradient Ventures (Google), SpeedInvest, Antler, and Notion Capital plus notable angels like Tom Blomfield (Monzo).

It’s a hugely exciting time to be joining the team, as we’re still small enough that you’ll have a significant impact on the company, growth trajectory and culture, yet large enough that we have a great structure, experienced leaders and world-class benefits in place.

About the role:

This is an amazing opportunity for a Payroll Assistant to join the payroll team at Sona. It’s a very exciting time in Sona’s journey; we are going through a period of rapid growth and we want you to be a part of it.

Reporting to the Director of Payroll, whilst you will work with colleagues from across the business, you will partner predominantly with the payroll bureau and payroll implementation teams.

Your role will be to assist the payroll implementation and payroll bureau teams in onboarding payrolls onto Sona Pay and assisting in processing regular, ongoing payroll for customers. You will perform tasks as and when required by either team to ensure smooth transition and accurate delivery of payrolls. This is a foundational role where there is lots of opportunity for progression in the future. We're looking for someone meticulous and proactive, the role is for you to grab and make your own.

Responsibilities:

  • Assist in the preparation, processing and safeguarding of payrolls, ensuring accuracy and compliance with UK and Ireland payroll legislation.

  • Handle data collection, input, validation and auditing for payroll runs.

  • Processing regular checks of payroll data to safeguard a developing integration.

  • Support payroll implementations, configuring systems using step-by-step guides. Checking off actions within an implementation checklist

  • Provide excellent customer service and support resolving queries and discrepancies promptly.

  • Collaborate with internal teams to resolve queries and tickets.

  • Maintain accurate payroll records and ensure GDPR compliance.

Skills and Experience:

We hope you have the following

  • Start up mentality, drive to help build a solid payroll service while disrupting traditional offerings and processes

  • Ability to communicate effectively at all levels and build solid business relationships

  • Extreme organisation and prioritisation skills - you will need to manage and triage requests that compete for your time from internal and external stakeholders alike

  • Methodical with high attention to detail

  • Excellent analytical and problem solving skills

  • Positive attitude, no detail is too small, no challenge too large, with a strong and supportive team everything is surmountable

  • Be a driver, not a passenger

  • Don’t wait until tomorrow for something that can be done today

  • Working knowledge and understanding of processing UK payrolls, end to end within a bureau/outsourced environment, desirable but not essential

Requirements:

Everyone is different, but hopefully lots of the following apply to you:

  • Intermediate to Advanced user of Microsoft excel and/or Google sheets, confident with SUM, VLOOKUP, PIVOT, CONCATENATE, etc

  • Studying towards a CIPP (or equivalent) qualification is desirable but not essential

  • Can work independently or as part of a team

  • Understanding of Information Security quality standards and GDPR compliance desirable not essential

  • Previous use of Apple Mac desirable

  • Remote role but occasional travel will be required to client sites and the London office.

Benefits:

  • Salary: £28,000 - £30,000

  • Share options

  • Remote first and flexible working

  • 35 days annual leave (25 days standard plus 10 flexible public holiday days)

  • Pension contributions matched up to 5%

  • Comprehensive Health Insurance via Bupa

  • Enhanced parental leave & pay

  • Co-working space stipend

  • Quarterly all expenses paid team retreats

  • The latest Macbook and equipment for your home office
