We’re looking for an exceptionally detailed, hands-on, process-driven Payments Operations Specialist to own the smooth flow of funds from customers to charities.

As a Payment Operations Specialist, you’ll play a vital role in ensuring the accurate, efficient, and timely flow of funds to nonprofits worldwide. Your focus will be on executing payment-related processes, supporting the team in achieving service level agreements (SLAs), and resolving payment issues. This role gives you a unique opportunity to work with global currencies, learn about international payment systems, and directly contribute to enabling positive change on a global scale.

As Payments Operations Specialist, your mission will be to:

  • Execute daily tasks related to payment processing, ensuring all payments are made accurately and on time.
  • Process payments to nonprofits via various methods, including bank transfers, checks, and card payments.
  • Respond to customer and internal queries regarding payments, ensuring clear and timely communication.
  • Handle complex payment issues such as failed payments, undeliverable donations, and reassignments, escalating issues when necessary.
  • Monitor and track payment workflows, ensuring adherence to SLAs and KPIs.
  • Detect, escalate, and help resolve domain-related problems and operational challenges.
  • Follow operational procedures meticulously while keeping track of critical updates to ensure compliance and efficiency.
  • Collaborate with other teams, including Operations, Customer Support, Product and Engineering, to improve payment processes and address challenges.
  • Identify opportunities to refine workflows for improved efficiency and effectiveness.
After 3 months, Success will look like:

  • You have a strong understanding of the end-to-end payment processing workflow and key systems involved.
  • You’re executing daily tasks with accuracy and timeliness, consistently meeting SLA targets.
  • Complex payment issues are escalated and resolved efficiently, reducing recurring issues.
  • Customer queries are being addressed with clarity and empathy, contributing to high satisfaction levels.
  • You’ve identified and suggested improvements for at least one key process to enhance team efficiency.
This Role is a perfect match for you if you have:

  • 2+ years of experience in payment operations, banking, financial services, or a similar role.
  • A strong understanding of payment systems, international funds transfers, and currencies.
  • A process-driven mindset with exceptional attention to detail.
  • Familiarity with domestic and international payment networks (e.g. SEPA, ACH, SWIFT).
  • Proven ability to handle complex payment issues and provide clear, customer-centric resolutions.
  • Strong written and verbal communication skills.
  • A metrics-oriented approach, with experience meeting SLAs and KPIs.
  • Proficiency in Excel/Google Sheets and comfort with payment and data analytics software.
Bonus if you have knowledge or love of:

  • Experience within the nonprofit sector or with social impact-oriented brands.
  • Familiarity with CSR or employee engagement initiatives, especially within corporate environments.
