A local healthcare facility in Northolt is seeking a part-time, permanent Receptionist to support patient services. The role involves managing patient enquiries, scheduling appointments, and ensuring efficient operations within the practice. Ideal candidates should possess strong customer service skills and be able to handle multiple tasks in a fast-paced environment. Salary: £12.21 per hour
Daily support on Reception Front Desk and Telephones, working closely with the team to ensure full cover during core hours. This will entail booking appointments, and safely signposting patients to the appropriate services following practice procedures and protocol.
Handle enquiries from patients (either by phone or in person) courteously and efficiently.
Receiving and routing of patients on arrival.
Answer telephone politely and deal with all enquiries.
Make new and follow-up appointments.
Accept and forward messages for Doctors, Nurses, other practice staff and all services that use the Surgery premises.
Record requests for home visits, emergency appointments and contact duty Doctor regarding such calls.
Ensure reception nhs.net mailboxes are checked and actioned at set intervals on a daily basis.
Ensure that samples e.g. urine, bloods etc are handled efficiently and safely without risk to patients, staff and other practitioners, and in conjunction with clinical guidelines.
General administration in keeping with the needs of Reception and Practice requirement. This may include processing requests for Non NHS Services offered by the Practice and taking and documenting payment for such Services.
Registration of new patients following Practice policy, including updating patient information and other data as necessary.
Liaising with, and assisting The Patient Services Department according to local and government policy.
Contact hospitals and other agencies, book transport for patients, summon emergency services when requested.
Promote the use of and support patients to access Digital Services offered by the practice, and the wider NHS, including, but not limited to, Online Consultation Platforms (i.e. eConsult), The NHS App, and Airmid.
To be a fire marshal. As such to ensure that the practice fire alarms are tested on a weekly basis and evacuation drills are carried out 6 monthly.
Patient Recall: Provide support in patient recall process for all patient areas. For those that decline or cannot be contacted, arrange follow up appointments with appropriate clinicians. Regular follow up for those patients that have not responded with SMS/Letter Invites.
Open, scan and distribute post either electronically or hardcopy coding clinically relevant information in medical records as appropriate and following protocol.
Contact other healthcare organisations and agencies as required
Support during the annual flu vaccination/Covid vaccination to manually contact patients who have not attended or booked, support with vaccine hesitancy, and manually code any refusals.
Ensure all tasks and requests are actioned in a timely manner
File medical records, hospital reports, prescriptions and letters when necessary
Attend compulsory training courses (e.g. First Aid, resuscitation, manual handling, fire etc.) at the appropriate intervals
Attend and contribute to staff and team meetings
Any other reasonable tasks as required
