Job summary

Liverpool University Hospitals NHS Foundation Trust is seeking an experienced admin/clerical professional to support the patient pathway by coordinating clinics, managing waiting lists and maintaining accurate records.

You will liaise with consultants and teams, help with recruitment induction, provide frontline information to patients and relatives, and ensure compliance with training and data standards across the Trust.

Qualifications

  • General administrative and clerical duties within a hospital setting.

  • Ability to communicate effectively with patients, relatives and healthcare staff.

Responsibilities

  • Allocate patients to waiting lists and book clinics as directed by consultants.
  • Coordinate cancellation of clinics with specialty and operational teams.
  • Notify patients of appointment dates, cancellations and reschedule as needed.
  • Monitor waiting lists for compliance with local and national policies.
  • Assist in staffing/supervision of clerical staff and contribute to recruitment/induction.
  • Ensure data is collected and maintained in line with Trust policies.

Job description

  • Ensure patients are allocated to correct waiting lists and clinics are correctly booked following discussion with Consultants.
  • Liaise with the specialty and operational teams to ensure clinics are cancelled in compliance with the patient access policy.
  • If required, notify patients of appointment dates and any cancellations and reschedule as necessary.
  • Monitor waiting lists to ensure compliance with local and national policies and procedures.
  • Assist in continually monitoring and reviewing staffing levels to workloads and development of new services, ensuring appropriate cover.
  • Assist in the cover for sickness and absence within the department
  • To participate in the recruitment, selection and induction of clerical staff.
  • As required, carry out appraisal interviews and agree personal development plans for clerical staff.
  • Support with monthly staff meetings and actions derived from meetings.
  • To attend training courses and meetings as and when required and ensure appropriate information / training is disseminated to the Clerical Team.
  • Provide, receive and communicate sensitive and complex information.
  • Ensure effective communication with patients, relatives and Professional Colleagues.
  • Support the Admin and Clerical staff when dealing with queries or complaints from patients, staff and relatives.
  • Ensure compliance with mandatory training and maintain current records.
  • Maintain a working level of IT skills with particular reference to Trust systems.
  • Ensure complete and accurate data is collected in accordance with Trust policy, Including outcomes and disposals of clinic appointments.
  • Any other duties determined by the Office Manager.
  • Contribute to planning, monitoring and control of resources by ensuring all equipment used in office is in working order and stocked to correct levels and set to correct programme eg, printers etc. and that adequate training has been provided for all staff who use the equipment.
  • To take an active part in patient pathway co-ordination for a particular specialty ensuring waiting lists are managed in accordance with the Trust's Patient Access policies and procedures.
  • The post holder will have responsibility for the delivery of highly efficient and effective clerical support and will be the link into the patient appointments office and the specialty clinical team.
  • Provide up to date, complete and accurate data.
  • Ensure the local and national guidelines and performance targets are adhered to.
