Role Overview

Under the guidance of the Front of House Manager, you will be responsible for activities at the Reception Desk in any hospital area. Your duties include providing a link between the hospital, patients, consultants, and other users, coordinating patient registration, preparing outpatient accounts, and receipting payments for hospital services. You will interact with patients, consultants, staff, and visitors to create a positive experience aligned with Bupa Cromwell Hospital’s Service Vision, “Every Patient is a VIP”.

You’ll help us make health happen by:
  1. Undertaking duties according to departmental policies and procedures.
  2. Becoming fully familiar with all reception areas, including Main Reception and other patient arrival points.
  3. Greeting patients and visitors warmly, respectfully, and courteously, promoting the hospital’s brand and service vision.
  4. Issuing Medical Record Numbers, front sheets, labels, and preparing medical records and administrative documents.
  5. Providing administrative support during clinics, tests, or procedures.
  6. Handling letters of guarantee, liaising with insurance companies and embassies as needed.
  7. Responding to inquiries about hospital facilities or redirecting them appropriately, and managing reception queries and complaints courteously and promptly.
  8. Ensuring staff and patients are aware of hospital charges, payment methods, and managing guarantee letters or insurance documentation.
  9. Implementing manual procedures during system downtime and transferring information upon system reinstatement.
  10. Scheduling follow-up bookings for patients after appointments.
  11. Assisting patients with booking further tests or consultations.
Key Skills / Qualifications needed for this role:
  • Experience in customer-facing roles, such as in a 5-star hotel, luxury retail, private hospital, or similar high-profile customer service environments.
  • Assertive, articulate, and polite communication skills.
  • Excellent telephone manner and interpersonal skills.
  • Strong organisational skills and attention to detail.
  • Ability to work independently, prioritise tasks, and meet deadlines.
  • Good time management and flexibility.
  • Ability to remain calm under pressure.
  • Empathy and genuine care for patients.
