Job description

A rare and exciting opportunity has arisen for an exceptional Personal Assistant to support the Founder of a globally renowned and award-winning architecture and design practice. This is initially a 6 month fixed term contract and is based in central London.

The ideal candidate will be a highly capable, intelligent and naturally proactive individual who can operate independently, navigate a complex international organisation and become a trusted and respected right-hand support to a highly influential figure within the creative world.

The Founder is often working remotely and travelling internationally, so this role requires someone who is comfortable taking ownership, reading situations and ensuring things happen without the need for constant direction.

The Role

As the Personal Assistant, you will act as an important conduit between the Founder, their wider network and the global business, requiring excellent judgement, diplomacy and a strong understanding of how to get things done.

Working across multiple international offices and alongside senior stakeholders, you will need to confidently build relationships, extract information and coordinate people across different locations, cultures and working styles.

Responsibilities will include:
  • Managing an extremely busy and complex diary across multiple time zones
  • Strategically planning schedules, commitments and travel well in advance
  • Coordinating complex international travel, itineraries and logistics
  • Researching and gathering relevant information to ensure the Founder is appropriately briefed and prepared
  • Working closely with senior stakeholders and colleagues across international offices
  • Managing invitations, events and a varied programme of industry and social commitments
  • Building strong relationships internally and externally and acting as a trusted point of contact
  • Assisting with occasional personal and family commitments
About You:

You will be highly organised and exceptionally on the ball, but your real strength will be your ability to navigate people and situations.

You will combine confidence and determination with excellent judgement and diplomacy. Comfortable navigating complex organisational dynamics, you will have a natural ability to build relationships, understand different perspectives and adapt your approach accordingly.

You will know how to influence and engage others, bringing people with you whilst maintaining the momentum needed to ensure things get done. Politically astute and highly perceptive, you will be comfortable operating with both independence and discretion.

  • Has significant PA experience supporting at senior executive or founder level
  • A background and genuine interest in architecture, design, the arts or another creative industry
  • Is confident working autonomously and taking ownership
  • Is naturally proactive and solutions-focused
  • Has excellent judgement and understands the importance of discretion
  • Is politically and emotionally intelligent, with strong interpersonal awareness
  • Can confidently build relationships with people at all levels
  • Knows how to influence and engage others to get things done
  • Is highly organised, strategic and able to think several steps ahead
  • Has a strong will and determination, with the resilience to follow things through
  • Is adaptable and comfortable working across different cultures and international locations
  • Is an excellent communicator with strong written and verbal skills
  • Has a natural curiosity and the confidence to ask questions and seek out information

This is a business-focused role with a healthy and sustainable approach to work-life balance. Whilst the position requires flexibility, excellent planning and a commitment to delivering at a high level, this is not a 24/7 role.

If you are an intelligent, culturally curious and highly capable PA keen to support an influential Founder and become an integral part of a global business, we would love to hear from you.
