The Role

We are looking for a Personal Assistant to provide highly proactive and efficient support to the Chief Business Management Officer (CBMO) and Chief Shared Services and Operations Officer (CSSOO), ensuring seamless delivery across a diverse portfolio of responsibilities. You will manage complex and demanding calendars with precision, exercise sound judgement and discretion in handling confidential matters, and deliver a professional, stakeholder‑focused service.

Your Key Responsibilities
  • Deliver comprehensive PA and administrative support, including document preparation and formatting tasks.
  • Build strong working relationships with the CBMO and CSSOO, anticipating needs and ensuring seamless virtual support.
  • Proactively manage complex diaries and inboxes, prioritising meetings, categorising calendars, and maintaining visibility of time allocation.
  • Act as the first point of contact for internal and external stakeholders, exercising discretion and professionalism at all times.
  • Coordinate internal and external meetings across multiple time zones, acting as gatekeeper and managing changes where necessary.
  • Arrange all travel and logistics, ensuring itineraries, documentation, and visa requirements are organised well in advance.
  • Collaborate closely with other PAs and business management teams, providing holiday cover and fostering strong internal networks.
  • Drive continuous improvement by embracing new tools and processes, supporting onboarding of new team members, and maintaining high standards of accuracy and confidentiality.
What we’re looking for
  • Proven experience as a PA, EA or Secretary supporting senior leaders, ideally for a minimum of three years.
  • Relevant qualifications such as GCSEs (including English and Maths), A‑Levels and/or a Legal Secretary or Business Administration Diploma (or equivalent).
  • Exceptional organisational skills with the ability to manage multiple priorities and work effectively under pressure.
  • Excellent written and verbal communication skills, with confidence to engage professionally at all levels.
  • High attention to detail, discretion and integrity, with a proactive and adaptable approach to problem‑solving.
  • Strong proficiency in MS Office applications, particularly Outlook, Word, Excel and PowerPoint, with confidence in adopting new technologies.
