Job description

Fantastic opportunity for a PA to work in a Family office in Mayfair, supporting a small number of Executives.

Private Family Office

Office Based (Hours: Monday to Friday, 9am to 6pm)
Location: Mayfair, West End, London, stunning offices!
Salary: £48,000 + annual bonus, fantastic benefits, and 25 days holiday.

PA duties include:

  • First point of contact for the family office. Meeting and greeting HNWIs, clients, and visitors, ensuring a warm and professional welcome.
  • Extensive diary management across multiple time zones.
  • Arranging global travel, including flights (private jets), accommodation, and detailed travel itineraries.
  • Arranging visas for business travel.
  • Answering and directing phone calls and emails.
  • Arranging meetings, setting up meeting rooms, ordering lunches, and clearing away after meetings.
  • Processing expenses.
  • Providing administrative support, including producing reports.
  • Managing post, ordering stationery and kitchen supplies, and ensuring the office environment is tidy and organized.
  • Organising events.
  • Liaising with IT providers and Property Manager.
  • Coordinating with Finance and HR teams.
  • General administrative duties such as scanning, photocopying, and filing.

The successful candidate will:

  • Have previous experience as a PA.
  • Possess diary management experience.
  • Have excellent communication and interpersonal skills, confident liaising at all levels.
  • Be highly organized with multitasking and time management skills.
  • Be a team player with a positive, professional attitude.
  • Be discreet and handle confidential information appropriately.
  • Have excellent attention to detail and the ability to meet deadlines.
  • Possess strong academic qualifications.
  • Have good MS Office skills: Word, Outlook, Excel, PowerPoint.
